About The Role

As an Administrator at our company, you will receive and handle walk-in clients and visitors, answer switchboard calls to project a professional image of the centre, and maintain a pristine reception area. You will also be responsible for controlling bookings for meeting rooms and providing general administrative support, including procurement administration, to support the centre management team.

  • Grade 12 or equivalent
  • 2 years relevant experience in an administrative environment
  • Experience managing a switchboard
  • Retail shopping centre experience
  • Excellent telephone etiquette and communication skills
  • Computer literacy (MS Office)

What You Will Be Doing

You will be responsible for:

  • Receiving walk-in enquiries and complaints from the public and directing/assisting accordingly
  • Assisting security, cleaning, and parking contractors with requests
  • Providing directions to visitors regarding office locations
  • Managing wheelchair bookings where relevant
  • Handling tenant enquiries and complaints via telephone, in person, or in writing
  • Logging complaints/requests on the Call & Query System and assigning them appropriately
  • Following up on the progress of actions and providing feedback before deadlines
  • Performing reception duties at the front desk for visitors, tenants, and contractors
  • Operating the switchboard
  • Updating emergency contact and tenant telephone numbers
  • Taking and relaying messages for building staff
  • Booking the auditorium when applicable
  • Liaising with service providers
  • Sending circulars to clients during breakdowns (e.g., air conditioning, lifts)
  • Performing general typing for the Building Manager
  • Managing post sorting and distribution
  • Making PA announcements when needed
  • Supporting all teams as required
