A Progressive organization based in Sandton specializing in ERP systems and debit order collections.
They are dedicated to offering superior business solutions to their diverse client base.
They are currently seeking a talented and detail-oriented Administrator & Office Manager to support the day-to-day operations.
The successful candidate will initially be employed on a three-month contract with the potential for permanent appointment based on performance and the achievement of set KPIs.
Responsibilities
Client Relations
Client Management
Vet new client applications and prepare relevant service agreements
Upload all client documentation to DocFox and follow risk assessment reporting and execute updates mandated by FIC
Client Services
Process client cancellations and update client records as needed
Administration
Record SOPs, provide SOP training, update and manage SOP repository, ensure review intervals are complete and recorded
Debt Management
Follow up on outstanding accounts and establish payment arrangements
Allocate EFT payments from bank statements to client accounts
Prepare and submit weekly and monthly statements to clients
Banking Activities
Perform account verifications and beneficiary setups
Maintain account names
Maintain account retainer balances
Conduct ten cold calls per day to schedule introduction meetings / update database
Order Processing
Manage hardware orders including client invoicing and supplier coordination
Perform quality checks and arrange courier services
Inventory Management
Oversee stock control and maintain accurate records
Human Resources
Post job positions when required / work with recruiters
Conduct initial interviews with shortlisted candidates
Manage leave records, monitor attendance, and issue warnings as directed by management
Maintain training records, organize training sessions
Reporting & Compliance
Compile and submit weekly and monthly activity reports to management
Maintain a FIC-compliant reporting system and file necessary reports
Office Management & Executive Assistance
Manage the Managing Director's calls, messages, and schedule
Coordinate and schedule meetings and appointments
Organize and maintain company documentation
Ensure a tidy, well-stocked office environment
Collaborate with vendors and service providers as needed
Requirements
Education & Experience
Minimum of five years working experience
Prior bookkeeping experience is advantageous
Intermediate-level proficiency in Excel and Word
Familiarity with basic accounting principles
Competence in filing and document management

Compensation
Salary : R - R per month Performance Bonus : R (weekly performance-based) Employment Type : Three-Month Contract (with potential for permanent placement) Working Hours : Monday to Thursday : 8 : 00 AM - 5 : 00 PM, Friday : 8 : 00 AM - 4 : 00 PM
