The purpose of the role is to provide administrative support to the Leasing Department.
Key Responsibilities include:
- Generating Lease Schedule documents and verifying information from proposed tenants to prepare lease packs.
- Gathering pertinent data, sourcing additional information for deal packs.
- Interpreting Lease Agreements and generating Information Schedule components or Lease Annexures as needed.
- Conducting quality checks on lease schedules and supporting documents.
- Ensuring deals are accurately captured on MDA.
- Drafting and sending various documents, including rental increase letters and formal correspondence.
- Resolving queries from other departments regarding questionnaires and instructions.
- Obtaining turnover certificates from tenants and calculating turnover rent per lease provisions.
- Generating instructions to charge turnover rent to tenants' accounts, maintaining records, and updating Excel sheets.
- Updating the deals list with new deals and renewals; generating monthly summaries for the department manager.
- Comparing department deals with the commercial deals list and submitting corrections.
- Preparing and sending monthly MDA reminders to Portfolio Managers.
- Reviewing lease queries and updating tracking sheets monthly.
- Providing reports and statistics to management as requested.
- Preparing draft budgets for portfolios and key accounts.
- Compiling data for the Octodec Financial Report.
- Maintaining assessment rates tracker, tracking recons, objections, and disputes.
- Obtaining municipal accounts for rate changes and preparing recons, assisting with disputes.
- Supporting credit controllers with account reconciliations and queries.
- Assisting leasing agents and managers with reports and administrative duties.
- Generating RFIs and supporting documentation, ensuring correct processing.
- Maintaining training documents for departmental processes.
- Preparing agendas and documents for Steering Committee meetings, hosting meetings on Teams, and recording minutes.
- Managing folders and registers related to the Steering Committee.
Working conditions : Office Based.
Requirements:
- Suitable tertiary qualification is advantageous.
- At least 2 years of experience in office management and administration.
- Experience with lease preparation is an advantage.
Skills & Knowledge:
- Proficiency in MS Office: Word (Basic), Excel (Intermediate), Outlook (Intermediate).
- Knowledge of MDA is advantageous.
- Excellent verbal and written communication skills.
- Basic ability to interpret lease agreements.
- Understanding of CIPC & FICA documents.
- Strong reporting skills preferred.
