The function of the Postgraduate Office (PGO) at Stellenbosch University (SU) includes enrolment advice and support to prospective and current postgraduate students,
administration and support of student cohorts enrolled in joint/collaborative degree programmes.
The Postgraduate Studies Support (PGSS) unit supports currently enrolled and prospective students as well as staff who are working with postgraduate students,
by advising on postgraduate study options, conducting international credential evaluations and assessing eligibility for admission to postgraduate studies.
The goal is to create an enabling postgraduate environment in collaboration with the faculties and other support service divisions,
thereby improving the overall quality of postgraduates' academic and research experience and postgraduate enrolment lifecycle in general.

Die funksie van die Nagraadse Kantoor (NK) aan die Universiteit Stellenbosch (US) sluit in inskrywingsadvies en ondersteuning vir voornemende en huidige nagraadse studente,
sowel as die administrasie en ondersteuning van studentekohorte wat ingeskryf is vir gesamentlike/samewerkende graadprogramme.
Die Nagraadse Studies Ondersteuning-eenheid ondersteun tans beide huidige en voornemende studente, asook personeel wat met nagraadse studente werk,
deur advies te gee oor nagraadse studie-opsies, internasionale kwalifikasie-evaluerings te doen, en geskiktheid vir toelating tot nagraadse studies te assesseer.
Die doelwit is om 'n bemagtigende nagraadse omgewing in samewerking met die fakulteite en ander ondersteuningsdiensafdelings te skep,
wat die algehele gehalte van nagraadse studente se akademiese en navorsingservaring, sowel as die nagraadse inskrywingslewensiklus in die algemeen, te verbeter.
Duties/Pligte
The incumbent will be responsible for ensuring a high standard of service for the following functions:
- Assisting prospective and current students telephonically, personally and through email correspondence with broad-ranging postgraduate-related enquiries and ensuring timely responses.
- Scheduling online and in-person consultations with prospective and current students about, inter alia, progression pathways for further studies, etc., and /or referring them to the appropriate
services elsewhere on campus, as required.
- Providing a specialist Credential Evaluation Service to internationally qualified applicants to postgraduate programmes through Credential Evaluation Reports -
entailing document scrutiny of reviewed applicants' credentials; verification of the authenticity of international qualification documents; evaluation of the credentials presented in relation to the
requirements of the programme(s) of application; and provision of an eligibility recommendation to an appropriate level of study- to guide academic departments in their consideration of
internationally-qualified applicants.
- Accurate and reliable record-keeping within the PGO and on the institutional student information systems.
- Effective determination and application of good practice and keeping abreast of ongoing developments in the field of international credential evaluation and international curriculums.
- Ongoing liaison with the Central Application Office (CAO); Centre for Student Administration (CSA), and Academic Departments to support postgraduate studies at the University.
- Presenting, inter alia, on subject matter related to international credentials and postgraduate administrative processes.
- Travelling on and between campuses as required, and representing the PGO at workshops and meetings, in-person and online.
- Issuing immigration documentation in response to offers made to international students selected for postgraduate programmes.
- Issuing of confirmation of studies documentation for students' visa renewal.
- Undertaking any other duties or tasks as requested or delegated by the PGO line management.
Die posbekleër sal verantwoordelik wees om 'n hoë diensstandaard te verseker vir die volgende funksies:
- Hulpverlening aan voornemende en huidige studente via telefoon, persoonlik en deur e-poskorrespondensie met 'n wye verskeidenheid nagraadse verwante navrae, en die versekering van
tydige terugvoer.
- Beplanning van aanlyn- en persoonlike konsultasies met voornemende en huidige studente oor, onder andere, vorderingspaaie vir verdere studies, ens., en/of die verwysing van studente na die
toepaslike dienste elders op kampus, soos nodig.
- Verskaf 'n gespesialiseerde evaluasiediens aan internasionaal gekwalifiseerde aansoekers vir nagraadse programme deur middel van evaluasieverslae, met inbegrip van:
dokumentondersoek van aansoekers se kwalifikasies;
verifikasie van die egtheid van internasionale kwalifikasiedokumente; evaluering van die aangebiede kwalifikasies in verhouding tot die vereistes van die program(me) waarvoor aansoek gedoen
word; en die voorsiening van 'n geskiktheid-aanbeveling vir 'n toepaslike studievlak (graadprogram) ¿ om akademiese departemente te lei in hul oorweging van internasionaal gekwalifiseerde
aansoekers.
- Akkurate en betroubare rekordhouding binne die NK en op die institusionele studente-inligtingstelsels.
- Effektiewe bepaling en toepassing van goeie praktyk en om op hoogte te bly van deurlopende ontwikkelinge in die veld van internasionale kwalifikasie evaluasie en internasionale kurrikulums.
- Deurlopende samewerking met die Sentrale Aansoekkantoor, Sentrum vir Studenteadministrasie (SSA), en akademiese departemente om nagraadse studies aan die Universiteit te ondersteun.
- Aanbieding van, onder andere, onderwerpe wat verband hou met internasionale kwalifikasies en nagraadse administratiewe prosesse.
- Reis op en tussen kampusse soos vereis word, en verteenwoordig die NK by werkswinkels en vergaderings, beide persoonlik en aanlyn.
- Die uitreiking van immigrasiedokumentasie in reaksie op aanbiedings wat gemaak is aan internasionale studente wat vir nagraadse programme gekies is.
- Die uitreiking van bevestiging van studies-dokumentasie vir studente se visumvernuwing.
- Verrig enige ander pligte of take soos versoek of gedelegeer deur die NK-lynbestuur.
Job Requirements/Pos Vereistes
- At least a Bachelor's degree.
- At least three years' relevant work experience.
- Knowledge of, and the ability to demonstrate understanding of, different tertiary education systems (including South African and international systems).
- Knowledge of a university's postgraduate programme offering and understanding the postgraduate student life cycle and related processes.
- Strong administrative, organisational, technical, and interpersonal skills.
- Excellent communication skills, including both written and verbal proficiency in English.
- High attention to detail, efficient and well-organised.
- The ability to manage large volumes of administration, especially under pressure, and to maintain focus and motivation despite repetitive tasks.
- A self-motivated and independent work ethic, with the ability to prioritise multiple tasks and build professional relationships with a range of stakeholders.
- Resourcefulness and proactivity in addressing issues as they arise.
- Strong logical thinking and sound decision-making based on available and derived information.

- Possessing and being prepared to demonstrate high-level computer literacy and proficiency in Microsoft Office, particularly Outlook, Word, Excel, and MS Teams.
- Sensitivity to cultural diversity.
- Willingness and ability to travel independently to represent the PGO and the Universitylocally and internationally.

- A postgraduate qualification to support a deeper understanding of the demands of postgraduate studies, particularly research degrees.

- Knowledge of one or more foreign languages, to assist in reading original-language international academic credentials.
