The Faculty of Medicine and Health Sciences (FMHS) at Stellenbosch University (SU) is currently recruiting for a Senior Administrative Officer at our Tygerberg Campus. The

main purpose of this position is to support doctoral education in the FMHS by coordinating the full examination process for PhDs, compiling reports for research committees, and

ensuring data integrity around supervision. It also involves liaising with stakeholders, event coordination, and providing on-site support to Postdoctoral Fellows and Consolidocs, while

managing the day-to-day operations of the FMHS Doctoral Office.

Duties/Pligte

  • Coordinating the full examination process for specific research degrees across all FMHS environments, from nominations, submissions, and results, through to reporting.
  • Compiling regular reports for the FMHS Research Committee, and contributing to other committee reports.
  • Monitoring data quality related to research degree supervision in the Faculty.
  • Liaising with internal and external clients via various platforms.
  • Coordinating and contributing to events on behalf of the environment.
  • Providing on-site, on-demand support to clients.
  • Office, financial, and asset management of the FMHS Doctoral Office.
  • Providing ad hoc assistance to the head of the FMHS Doctoral Office.


Job Requirements/Pos Vereistes

  • Advanced diploma or B-degree.
  • Three or more years' relevant, fulltime experience.
  • Excellent service orientation and sound interpersonal skills.
  • Attention to detail, including consistent, meticulous copy-editing.
  • Database experience.
  • Excellent proficiency with MS Excel.
  • The ability to work with large documents.
  • Fluency with the range of office software (MS Excel, Outlook, Teams, OneDrive, Word, and Adobe Pro).
  • Previous experience working directly with senior colleagues / stakeholders.
  • Self-driven, efficient individual with strong work ethic and project management ability.
  • Taking personal pride in an academic coordination role that is primarily deskbound, on site.
  • Understanding the societal context and contribution of higher education and science.


Recommendation/Aanbeveling

  • Previous working experience with postgraduate students and supervisors in a higher education institution.
  • Proven professional development or honour's degree.
  • Proficient in isiXhosa or Afrikaans.
