Job Summary
The Administrative Assistant is responsible for assisting the General Manager with all administrative duties including but not limited to schedule management, travel arrangements, preparing memos, invoices, Credit card expenses, data entry and filing, all other correspondence.
Essential Functions (Duties & Responsibilities)
- Administers and coordinates travel, domestic and international, including car rentals, hotel reservations and dinner/meeting reservations and records minutes, as required.
- Manages and coordinates office supplies and grocery procurement.
- Arranges, coordinates, and maintains General Manager’s calendar.
- Prepares and administers courier and freight shipping for domestic and international documents.
- Provides general information, answers questions, and directs individuals to appropriate parties as necessary.
- Orders and maintains all binding materials and supplies for proposals and documents for General Manager to use in their presentations at high level meetings.
- Obtains and assembles information for use by the department.
- Prepares all correspondence.
- Photocopies and scans information.
- Works independently and within a team on various projects.
- Organizes own schedule, sets priorities and ensures critical deadlines are met by self and other staff.
- Meets and greets all the General Manager ‘s visitors.
- Monitors and ensures all General Manager ‘s emails are seen and responded to in a timely manner.
- Works closely with all other GLI offices to obtain necessary information to better assist the General Manager in their day-to-day work.
- Assists other Manager’s with travel and expense reports and gains approval from General Manager for all charges.
- Prepares and reviews General Manager ‘s credit card reports, and cash expense reports each month.
- Keeps precise records and files for General Manager, including all correspondence with all licensing jurisdictions.
- Ensures the Executive Boardroom and GLI University Training Room are stocked with supplies and refreshments in preparation for General Manager meetings and GLI University training events.
- Scans and maintains General Manager ‘s business card database with all contacts from every meeting, show or event he attends.
- Coordinates and schedules all employee reviews for General Manager.
- Other duties and special projects, as assigned.
- Providing administrative support to other departmental managers as needed.
Required Skills/Experience
- National Senior Certificate is required.
- 5+ years of experience in the administrative field.
- Valid driver’s license.
- Fluent in English.
- Moderate/Extensive knowledge of Microsoft Systems (i.e. Office, CRM, SharePoint, and others as required).
- Computer skills including the ability to spreadsheet and word processing programs at a highly proficient level. (MS Office Word and Excel).
- Experience with office administration.
- Analytical and problem-solving skills.
- Stress management skills.
- Must demonstrate a strong attention to detail, correctness and proofreading skills.
- Time management skills.
- Frequent use of tact, discretion, initiative and independent judgment as well as ability to handle matters with confidentiality and professionalism.
Physical Requirements And Working Conditions
- Must have the ability to sit and work at a computer for extensive periods of time.
- Must have the ability to speak on the telephone with clients/prospective clients for extended periods of time.
- Must have the ability to communicate, both orally and written, with other members of the team and clients/prospective clients.
- Must have the ability to handle and organize multiple projects and deadlines.
- Must demonstrate a high degree of attention to quality, details, correctness, and deadlines.
Location: On-site in our Midrand office
Schedule: Normal hours are Monday through Friday, 40 hours per week.
