JOB PURPOSE
The core purpose of the role is to provide administrative support to ensure that the administrative function of the branch runs smoothly and efficiently.

MAIN RESPONSIBILITIES
- ADMINISTRATION
Administer Inter Branch Transfers.
Post and receive Inter Branch Transfer (IBT) stock on SAGE.
- Post and transfer Inter Branch Transfer (IBT) stock on SAGE.
- Transfer Inter Branch Transfer (IBT) stock to Work In Progress (WIP) on SAGE.
- Administer branch credits, including :
Investigating credit issues.
- Collect supporting documents.
- Load and process credits on SAGE.
- Update credit-note spreadsheet with all credits processed.
- Ensure all credits are passed by month-end.
- Address credit enquiries promptly.
- Post receipt of stock items (GRV) on SAGE.
- Control branch freight administration, including updating driver drops and mileages daily, capturing fuel slips, reconciling fuel slips with Nedbank statements, posting GRV for fuel slips, and reconciling freight invoices.
- Create purchase orders for vehicle maintenance, review charges, and escalate discrepancies.
- Control Branch PODs by ensuring timely receipt, scanning, and sending as needed.
- Manage cash sales and petty cash, including reconciliation and banking.
- Perform general administration duties: filing, data capturing, arranging refreshments, adding employees to systems, and arranging services.
- Administer top-up stock orders, branch powder coating, RTS on SAGE, and control office supplies.
- SHEQ INTEGRATED MANAGEMENT SYSTEM CONTROL
Ensure adherence to the OHS Act, participate in safety activities, report unsafe conditions, and comply with health and safety policies.
- Identify opportunities for improvement and report non-conformances and incidents.
- Maintain high customer service standards and ensure compliance with health, safety, and hygiene standards.
