KEY RESPONSIBILITIES :
- Attending queries, e.g. clearing and deletion of user accounts. Receiving incoming calls for GIS. Directing visitors to relevant personnel. Scheduling – boardroom bookings, email notification to all attendees. Preparation of attendance registers, agendas, minutes, stats, etc.
- Submit all new as-builts to the data Coordinator. Print sufficient forms for the requesting office and submit. Training new IMQS users occasionally. Compilation of manuals for different training categories. Interviews and selection of temping administration staff. Supervision of admin staff appointed for special projects, etc. Timesheets signoffs, processing of invoices, etc. Collect all GIS stats.
- Updating spreadsheet on the sever. Filing supporting documents. Update IMQS training spreadsheet and schedule training as required. Arrange training (bookings a week prior to the training date). Add new users on the system. Printing, binding, manuals and tests. Log and link all new as-builts within 5 days of receipt. Updating stats list on the server. Log and update tubes spreadsheet within 5 days of receipt.
- Load completed as-builts drawings in tubes. Contact records for collection once a tube is full. File all the supporting documentation. Processing invoices. Order stationery and furniture for GIS.
JOB REQUIREMENTS : ESSENTIAL QUALIFICATIONS AND EXPERIENCE
- National Senior Certificate (Matric / Grade 12)
- Diploma or Certificate (NQF Level 5 or 6) in Office Administration, Public / Business Administration, Secretarial Studies, or Records Management
- 3–5 years in office administration or management, with the ability to read / interpret water and sewer infrastructure information
- Strong organisational and communication skills, attention to detail, and proficiency in tasks like data entry, scheduling, and document management.
