Job summary

A leading aged care provider in South Africa is seeking a permanent part-time Administrative Assistant to be the first point of contact for residents and visitors. You will deliver exceptional customer service and provide administrative support to the Village Manager. The ideal candidate has strong communication skills, is detail-oriented, and thrives in a fast-paced environment. Working hours are Monday to Friday from 8:30 am to 1:30 pm.

Qualifications

About You

The ideal candidate will possess exceptional verbal, written, and interpersonal skills, which are crucial for excelling in this role. You are professional and approachable individual with strong customer service and administration skills. Highly organised and detail-oriented, you thrive in a fast paced environment and communicate effectively with people at all levels. You take initiative, work well both independently and in a team.

The Role

The Administrative Assistant is the first point of contact for residents, relatives and other visitors to Collier Park Village. They are responsible for providing excellent customer service to all internal and external stakeholders as well as administrative support to the Village Manager and other staff who support the village. This role also provides ongoing assistance with Retirement Living projects as required.

This is a permanent part time position working 50 hours per fortnight.

Monday - Friday 8.30am-1.30pm

Key Responsibilities
  • Answer all incoming telephone enquiries promptly and professionally
  • Processing of creditors invoices when applicable
  • Maintenance of records and inputting / updating data using IT systems
  • Processing of customer orders and produce relevant paperwork
  • Manage all day to day enquires and administration tasks
  • Produce and apply production labels as required
  • Order and manage office supplies
  • Provide administration support to other areas in the TCS office as required
  • Any other duties within the remit of administration and receptionist
Essential Criteria
  • Evidence of COVID-19 and 2022 Flu vaccinations
  • Intermediate MS Office Suite experience
  • Successful completion of a Pre-Employment Health Questionnaire and references
  • Ability to obtain a National Police Clearance (within 6-months validity)
  • Experienced in record management (desirable)
