Job Title: Administration Assistant

A vacancy exists for an Administration Assistant at Kirkwood Care Centre in Kirkwood, reporting to the Senior Admin Officer. The successful candidate will be responsible for providing comprehensive administrative support to the Admin Officer and the MANCO team.

Function and Facility

Introduction

The role involves assisting with various administrative duties to ensure smooth operations within the facility.

Critical Outputs
  • Assist the Admin Officer with ad-hoc tasks.
  • Perform general admin duties, e.g., filing, taking minutes, etc.
  • Answer telephones and handle verbal and written messages professionally.
  • Maintain an effective filing system.
  • Manage patient admission and discharge processes.
  • Accurately capture patient statistics on Imeds or other systems.
  • Assist in reviewing and establishing internal controls.
  • Continuously seek to improve working methods for better standardization and efficiency.
  • Manage archives effectively.
Requirements
  • Minimum Grade 12 qualification.
  • Office Admin studies are advantageous.
  • Proficiency in MS Office Suite.
  • Knowledge of SAP and IMEDS systems.
  • Excellent interpersonal and communication skills.
  • Attention to detail and accuracy.
  • Ability to work under pressure and meet deadlines.
  • At least 1 year of experience as an Administrative Assistant in a healthcare setting is preferred.
