Requirements

  • National Diploma (NQF Level 6 or 7) as recognized by SAQA qualifications in Transportation or Logistics.
  • 1 to 2 years’ experience in motor Transport operations/Logistics/Fleet management.
  • Minimum Code B driving licence.

Duties

  • Administer the new vehicle purchase requests:
  1. Acknowledge receipt of Vehicle Request Form (VRF).
  2. Verify on Fleet Information System (FIS) to ensure that the replacement vehicle belongs to the relevant client and do relevant printouts.
  3. Record vehicles requested on the VRF spreadsheet with all the client’s details.
  4. Open new vehicle requests file and other relevant documents.
  5. Liaise with client departments regarding their vehicle needs, vehicle selection and specifications.
  6. Record and keep efficient and accurate data on vehicle purchases from various manufacturers/suppliers.
  7. Initiate the requisition form, accompanied by all the necessary documentation for sign-off.
  8. Register ordered vehicles on the manual vehicle register as per GG numbers.
  • Administer new vehicles from the supplier/manufacturer:
    1. Receive new vehicles from the manufacturer.
    2. Inspect vehicles delivered for any defects.
    3. Check whether delivered vehicles have the correct specifications.
    4. Check whether the vehicle delivered by the manufacturer/supplier is in good working order.
    5. Sign off the proof of delivery.
    6. Capture the vehicle on manual vehicle register.
    7. Capture vehicle Full maintenance Lease (FML) tariff onto the Fleet Information System (FIS).
    8. Send the tariffs to contract management section for billing.
  • Allocate vehicles to the clients:
    1. Allocate vehicles in accordance with the initial request received.
    2. Load fuel cards on FIS.
    3. Send out vehicle collection invitation to the client.

    Notes

    • All shortlisted candidates will be subject to pre-employment screening (vetting).
