Santam Insurance is looking for a proactive Administrative Assistant on a fixed-term contract within their Digital Innovation team in Sandton. The role involves providing executive support, managing budgets, and fostering strong internal relationships while assisting with various operational tasks. Ideal candidates will have 3-5 years of relevant experience and strong organizational and communication skills.
We have an exciting opportunity for a Administrative Assistant (Fixed-term Contract) in Santam Specialist Solutions within the Digital Innovation team based in Sandton, Alice Lane.
What will make you successful in this role?Key responsibilities include : Executive Support : Travel and Expense arrangements.Assisting with travel and accommodationFollow up on claim / payment queries when needed.Forging strong relationships with internal staff and managers.General diary managementPrepare briefing materials for meetings and appointmentsDraft, proofread, and edit correspondence, reports, and presentationsHandle confidential information with utmost discretionPrepare project documentation and presentations for stakeholdersInternal Marketing Initiatives and Campaigns : Arranging office functions / team buildings and meetings.Assisting with co-ordination of Townhalls and / or Staff or Broker eventsAssist with internal marketing initiatives where requiredHelp manage relationships with marketing agencies and vendorsHelp create training materials for the departmentSupport the creation and distribution of marketing materialsMonthly budget reconciliationLoading of invoices and making payments through the JDE systemMonitor project budgets and resource allocationAssist in preparing and monitoring departmental budgetsProcess and track expenses, including credit card reconciliationsManage invoice processing and payment approvalsOffice Management : General adhoc tasksOrdering of stationery and any additional items required by the contact centerOffice Health and SafetySupport on IT mattersTeam Support and Communication : Create and maintain project timelines, task lists, and status reportsCoordinate cross-functional teams and facilitate communicationLiaise with the Finance department on budget-related mattersAssist in onboarding new team membersQualifications and Experience3-5 years of experience as an assistant or in a similar roleBasic understanding of marketing conceptsAbility to handle confidential information with discretionProactive problem-solving skills and attention to detailFlexibility to adapt to changing priorities and work under pressureExperience in event planning and coordinationBasic financial acumen and budgeting skillsAdministrative related experienceRE 5 advantageousNQF Level 6 qualification with a credit value of credits in business administration or similar or minimum 3 years working experience in a similar rolepetencies and SkillsBusiness AcumenService Orientation and Client-centricityPlanning and OrganizingNumerical literacyGood verbal and written communication skillsStrict adherence to deadlines and SLAsAbout the companySantam is the market leader in the general insurance industry in Southern Africa.
