Job Title : Transactional Administrator & Process Coordinator

Our team is small, collaborative, and focused on long-term client relationships built on trust, professionalism, and measurable results.

About the Role

We are looking for a sharp, detail-driven Transactional Administrator to join our team. You will manage the flow of client documentation and internal operations across our group of companies.

In this role, you’ll gain valuable exposure to corporate transactions, creative B-BBEE solutions, and cutting-edge structuring, while playing a key role in delivering operational excellence.

This role is ideal for someone who is methodical, takes pride in getting things right the first time, and enjoys owning structured processes in a dynamic environment.

You’ll work closely with clients and internal stakeholders to ensure that every document is complete, every step is followed, and every detail is correct.

You will also be responsible for the detailed execution of structured corporate transactions, including B-BBEE ownership, ESD, and procurement-related initiatives.

Each step in the process needs to be logically sequenced, properly documented, and completed on time.

You’ll coordinate internal processes, clients, and third-party providers to ensure that nothing falls through the cracks.

Key Responsibilities

  • Manage the full administrative lifecycle of ownership transactions : collect, check, and collate client documents
  • Track and enforce process sequencing across stakeholders and documentation
  • Communicate directly with clients to request missing information and clarify mismatches
  • Maintain version control, accurate folders, naming conventions, and status tracking
  • Administer and refine internal processes for the Magenta group of companies
  • Coordinate documentation and timelines for ESD transactions, including year-end workflows
  • Assist with the onboarding and record-keeping for the AmaVoucher platform
  • Support the Director with high-priority operational follow-up and client reporting
  • Identify and flag gaps, inconsistencies, or risks early in the transaction process
  • Ensure all steps are complete before passing to the next stakeholder Assist with onboarding and record-keeping
  • Maintain clean process documentation, and suggest improvements over time

  • Transactions run smoothly, without back-and-forth or errors
  • Clients feel well-supported, confident that nothing is falling through the cracks
  • Internal files are clean, current, and logically organised
  • SOPs are followed, then refined based on feedback and observation
  • You spot issues before they become problems

Requirements

  • 3–10 years’ experience in a legal, financial, compliance, or corporate admin environment
  • Strong written and verbal communication skills
  • Strong numeracy and logical thinking - comfortable reviewing dates, amounts, and cross-referencing for sense
  • Exceptional attention to detail and pride in accurate, complete outputs
  • Comfortable speaking to clients and managing expectations with professionalism
  • Organised and disciplined about deadlines, checklists, and structure
  • Tech literate : confident with folders, Word, Excel, and email
  • Critical thinker : you ask, "Does this make sense?" — and act accordingly

Bonus Points For

  • Experience in a law firm, accounting firm, corporate finance, or company secretarial function
  • Exposure to B-BBEE, ownership structures, or procurement processes
  • Experience with CRM, workflow tools, or shared drive systems
