Job Description:
A meticulous and motivated
Accounts Assistant is sought to support the day-to-day financial operations within a dynamic hospitality finance team. This role is essential in maintaining accurate financial records, assisting in financial reporting, and ensuring compliance with financial procedures. The position is based within a high-standard luxury hospitality environment, where precision, discretion, and professional communication are key.
Key Responsibilities:
Financial Record Keeping:
- Record and categorize daily financial transactions (income, expenses, assets, liabilities).
- Maintain accurate and compliant financial records using accounting software.
- Reconcile accounts and assist in preparing financial statements and audit support.
Financial Reporting:
- Assist in preparing financial reports including income statements, balance sheets, and cash flow summaries.
- Gather and verify data for consistency and accuracy in reporting.
Budgeting & Forecasting:
- Support budgeting and forecasting by compiling data and tracking performance against budgets.
- Identify and report variances to aid informed decision-making.
Risk Management:
- Help monitor financial compliance and support internal controls.
- Assist in identifying financial risks through regular reconciliations and data reviews.
Communication:
- Collaborate with internal departments and external stakeholders.
- Clearly communicate financial information to non-financial team members and respond to queries.
Key Duties Include:
- Processing supplier invoices and resolving supplier queries.
- Managing accruals, prepayments, and petty cash reconciliations.
- Verifying food & beverage receipts against purchases, POs, and delivery notes.
- Ensuring Aged Accounts Payable reports match General Ledger.
- Daily reconciliation and balancing of cash, floats, and dockets.
- Assisting with monthly payroll processing and statutory payments.
- Preparing payroll journals and processing debtors, reconciliations, and collections.
- Participating in stocktakes and ensuring accurate stock data entry.
- Maintaining organized records of petty cash and financial documentation.
- Supporting internal controls and flagging discrepancies.
Requirements:
- 1–3 years of experience in a similar accounting role, ideally within the hospitality industry.
- Matric (minimum); relevant tertiary qualification in finance/accounting is advantageous.
- Proficiency in Microsoft Office, especially Excel (intermediate to advanced level).
- Experience with ACCPAC/SAGE300 and VIP Payroll.
- Familiarity with hospitality Property Management Systems (e.g., OPERA is a plus).
- Valid South African ID.
