The Opportunity
We are seeking a highly detail-oriented, proactive, and efficient Accounting Operations Specialist to join our team remotely. This full-time role is essential in maintaining financial accuracy, contributing to smooth daily operations, and supporting our client-focused approach. You will work closely with our Controller, playing a key role in critical invoicing, collections, and bookkeeping functions that contribute directly to excellent client service and robust internal financial reporting.
This is a remote position requiring availability to work during U.S. business hours (Monday-Friday, 8 am-5 pm Eastern Standard Time, no weekends).
Key Responsibilities
- Invoicing & Collections Management:
- Manage a Gmail-based invoice inbox, diligently organizing emails into correctly labeled folders.
- Manually enter invoices into QuickBooks with high accuracy and timeliness.
- Perform rigorous invoice quality assurance (QA) for all orders over $250, including verifying that margins meet a minimum 20% threshold and flagging any shipping discrepancies.
- Track and ensure timely receipt of payments from all invoices, actively completing collections through professional phone calls with customers and vendors.
- Prepare invoices for processing within our online purchase order (PO) system and maintain the order database.
- Verify Government PO (GPO) customers have received their products and bill them accordingly.
- Accounting Support & Record Keeping:
- Support daily and monthly accounting duties and clerical needs related to all financial business processes.
- Prepare and maintain accurate accounting records, including creating profit and loss statements for company vendors, ensuring all financial data is properly analyzed and documented.
- Support accounting operations by meticulously filing documents, reconciling statements, and running necessary software programs.
- Process checks and provide general support to Controllers as needed.
- Interdepartmental Collaboration:
- Interface effectively with multiple departments regarding orders, purchase orders (POs), Government POs (GPOs), and ABM.
- Collaborate with internal team members via our proprietary web-based task tracking system.
- Conduct occasional client-facing phone calls using the Mitel (MyCollab) phone system.
- Goal Attainment & Initiative:
- Proactively identify issues and work to resolve them without waiting for instruction.
- Take initiative to accomplish accounting and company quarterly goals by completing related tasks as needed.
Required Qualifications- 2+ years of accounting experience is required.
- 2+ years of experience with accounting software, specifically QuickBooks, is required and non-negotiable. (Experience with Sage or similar is a plus).
- Proficiency with Google Workspace (Gmail, Sheets, Docs, Drive) and other office-based products (Word, Excel).
- Strong written and verbal communication skills.
- Excellent phone etiquette and comfort talking with customers/vendors regarding outstanding invoices and purchase orders.
- Ability to speak clearly and professionally (a neutral or mild accent is preferred for client-facing calls).
- High level of accuracy and exceptional attention to detail.
- Strong problem-solving skills and a proactive attitude.
- Ability to work quickly and efficiently while maintaining accuracy.
- Capacity to take initiative and work independently in a fast-paced environment.

- Proficient with using an adding machine as well as a home key style of typing.
- Strong reporting, data entry, and general computer skills.
Education & Technical Requirements- Education: High School Diploma or equivalent required; an Associate's Degree or higher in a related discipline is an asset.
- Workstation:
- CPU: At least i5 Intel Microprocessor or Generic equivalent.
- RAM: 8 GB or 16 GB.
- Main Boot Drive: Must be a Solid State Drive (SSD).
- Operating System (PC): Windows 10 or newer, OR (macOS): Catalina (10.15) or newer.
- Internet: Stable ping at 50 milliseconds or less, Minimum 10 Mbps download and 5 Mbps upload internet speeds.
- Headset: Must use a headset with a noise-canceling microphone. High quality gaming over-the-ear headsets are preferred. Wired or wireless earphones such as wired Apple Earpods, Wireless Apple Airpods, or other brands of Bluetooth earbuds are not allowed.
- Webcam: A decent webcam (1080p or higher resolution).
- Monitors: Two monitors.
- Backup Power System: A reliable internet connection and backup power system are preferred.
