Alexforbes is seeking a skilled accounts payable professional to manage creditor invoices, ensure accurate posting, and process timely payments. You will work across the procurement and finance teams, maintaining VAT/tax invoice compliance and coordinating with stakeholders for approvals.

The role involves month-end activities, reconciliations, and providing timely Management information. Hybrid working arrangements are available, with strong emphasis on accuracy and process discipline.

Formación

• Experience in processing creditor invoices and payment runs.
• Ability to prepare creditor reconciliations and resolve variances.
• Knowledge of SARS tax invoice requirements and VAT rules.

Purpose of the Role:

To process Creditor and Once off invoices, in an accurate, timely and efficient manner to service providers(Internal & External) as per agreed timeframes, in the accounting systems, with the correct account line allocations in line with the correct approval authority to the general ledger, meeting SARS requirements of a valid tax invoice.

To manage your own portfolio allocated: with relationship building and engagement with your stakeholder that spans from purchase requisitioner all the way to Exco members.

Key Performance Areas:

Invoice Capturing Once-Off payments and Creditor Payments:

• To accurately capture/ match invoices daily in the accounting systems in order to effect payment timely and accurately to once off suppliers within the agreed timeframes.
• Ensure invoice meets SARS requirements of a valid tax invoice.
• To ensure vendor process is adhered to
• To ensure accounts payables procedure, processes and guidelines are adhered to.
• To ensure invoices are correctly authorized as per the authority matrix and allocated to the correct general ledger account lines and cost centre
• To ensure payment batch is submitted for checking and paid timely per agreed timelines
• Ensure remittances are submitted daily for all payments processed
• Accurate filing of invoices electronically
• Apply the relevant controls required in accounts payable
• To ensure Creditor payments are processed and submitted for payment timely.
• Credit terms are met, queries resolved timely to avoid interest and penalties.
• Check, match and capture invoices against statements
• Understand age analysis of accounts and under general structures
• Action queries and reallocations from internal customers timely in the correct reporting period, achieving timeous and accurate month-end and year-end process.
• Provide back-up to the team when required
• Assist with any task that may arise from time to time in the finance department
• Provide management information when required.
• Timeous and accurate achievement of month-end process
• To ensure emails are read and responded to timely and within the agreed turnaround times

Month end reporting:

• Ability to prepare creditors recons for creditor accounts and to follow up on variance post preparation.

Stakeholder Engagement:

• Be able to write professional emails or conduct professional calls with stakeholders on matters to resolve query
• Timeous responses to queries and ability to query resolve for customers
• Ability to be accountable and responsible for own portfolio allocated
• Able to work cross-functionally on another person’s portfolio in their absence
• Ability to engage with Exco on staff claims queries or queries relating to DOA unapproved on Oracle.

Oracle Use:

• Ability to navigate in Oracle to find documents to answer queries or investigate queries that could arise from senior management.

Requirements:

• Bachelor’s degree/ Honours Degree in Accounting, Bookkeeping
• Matric with minimum Maths and Accounting.
• 3-5 years’ experience
• Function Creditors Experience in accounts payable environment.
