The IIE's Varsity College, Westville Campus has a vacancy for an Academic Support Co-ordinator.

Duties and Responsibilities:
  1. Academic Department Administrative Support
  • Provide daily administrative support to the campus Academic department across all Schools and Programmes.
  • Compile, manage, and distribute academic reports as required.
  • Capture student notes in the academic system as needed.
  • Collaborate with Academic team members and other departments for audits and reports.
  • Support during registration periods, including student retention initiatives.
  • Assist with Student Evaluation of Teaching (SETS) processes.
  • Attend department meetings and record minutes when required.
  • Assist with student disciplinary hearings as needed.
  • Meet project deadlines set by the National office or Head: Academic.
  • Independent Contractor (Lecturer) Administration Management
    • Manage daily administrative tasks for the Lecturer team within relevant Schools.
    • Support Programme Managers in managing lecturers and addressing queries.
    • Monitor lecturers' administrative performance, including timesheet submissions.
    • Maintain and update the DASE tracker accurately.
    • Manage lecturer loads via module allocations, ensuring hours are within limits.
    • Proactively monitor the DASE tracker and report nearing maximum hours.
    • Notify lecturers of changes affecting their programmes.
    • Assist in advertising lecturer vacancies and screening applications.
    • Coordinate lecturer onboarding, evaluations, and approvals.
  • Campus Synergy and General
    • Assist with academic workshops and identify at-risk students and lecturers.
    • Coordinate class visit schedules and facilitate communication between departments.
    • Ensure compliance with POPIA legislation.

  • Qualification Requirements:
    • Minimum of a National Diploma/Advanced Certificate (NQF Level 6); final year students considered.
    • Advantageous: Advanced Diploma or Degree (NQF Level 7).
  • Experience Requirements:
    • At least two years of administrative experience, preferably in higher education.
  • Working Hours:
    • Monday to Friday: 08:00 - 17:00
