The Head of Shared Services oversees all aspects of finance-related shared services functions within the company through direct involvement and management of departmental leaders. This role ensures the efficient and effective delivery of transactional finance services by driving process excellence, implementing efficiencies, and maintaining strategic oversight of operations. The Head of Shared Services has full accountability for departments including procurement, accounts payable / receivable, billing, collections, and contract administration. The role actively designs and implements process improvements, optimises resource utilisation, and ensures compliance with operational controls, ultimately contributing to the company's operational efficiency and financial accuracy.

Key Responsibilities
- Oversee all aspects of financial transaction processing, including accounts payable, accounts receivable, billing, collections, and fixed asset transactions.
- Maintain strategic oversight of fixed asset register maintenance, additions, disposals, and depreciation processing.
- Drive efficiency improvements and streamline transaction processing workflows.
- Ensure accurate and timely processing of all financial transactions through direct involvement and team leadership.
- Implement and maintain robust operational controls and procedures.
- Support the month-end and year-end closing processes by ensuring all transactions are properly processed.
- Provide transaction data to support cash flow reporting by the finance department.
Collections and Debt Management
- Design and implement effective collection strategies to minimise bad debt.
- Actively monitor and manage debtor aging, proactively addressing overdue accounts.
- Drive process improvements to ensure accurate and timely billing and invoicing.
- Establish and manage relationships with external collection agencies, as required.
- Directly intervene in complex collection cases when necessary
Procurement and Creditor Management
- Oversee the procurement function including vendor selection, purchase order processing, and contract negotiation.
- Manage the accounts payable process, ensuring timely and accurate payment of invoices.
- Implement and enforce procurement policies to ensure cost effectiveness and compliance.
- Maintain strong relationships with suppliers and vendors.
- Optimize transaction processing to support the finance department's payment schedules.
- Ensure adherence to procurement controls and authorisation matrices.
Billing and Contract Administration
- Ensure accurate and timely billing for all tracking device sales and related services.
- Implement and maintain robust contract management processes.
- Analyse billing data to identify trends and opportunities for process improvement.
Operational Controls and Compliance
- Maintain operational controls to ensure accuracy of financial transactions.
- Ensure compliance with all relevant operational policies and procedures.
- Support internal and external audits by providing transaction data and process documentation.
- Implement and maintain effective operational risk management practices.
Team Leadership and Development
- Lead, mentor, and develop a high-performing shared services team.
- Foster a culture of continuous improvement and collaboration.
- Set clear performance expectations and provide regular feedback.
- Identify and address training and development needs.
- Manage team performance and productivity.
Process Improvement and Technology
- Personally identify and implement opportunities to streamline and automate financial processes.
- Lead the evaluation and implementation of new technologies to enhance efficiency and effectiveness.
- Actively drive the implementation of best practices in shared services operations.
- Design and develop innovative solutions to complex operational challenges.
- Continuously analyse and refine processes to maximise operational efficiency.
Qualifications & Skills Requirements :
- Bachelor's Degree in Accounting, Finance, or a related field (Master's degree preferred)
- Minimum of 8-10 years of experience in operational finance or shared services, with at least 5 years in a leadership role.
- Proven experience in managing shared services functions.
ERP Systems and Process Automation
Demonstrated proficiency in the implementation, configuration, maintenance, and utilization of Enterprise Resource Planning (ERP) systems and related process automation tools.
Collections and Debt Management
Demonstrated expertise in the principles, practices, and technologies related to collections and debt management
Financial Transaction Processing and Operational Controls
Demonstrated expertise in the execution and oversight of financial transaction processing, coupled with a thorough understanding and implementation of operational controls to ensure accuracy, efficiency, and compliance.
