Overview
The Candidate Intake Specialist is responsible for managing the live interview process and guiding candidates from their first interview through to application submission. Working in a queue-based virtual environment, this role ensures each candidate receives a professional and engaging interview experience, is properly assessed for fit within the organization, and receives ongoing support to complete their application in a timely manner. Candidate Intake Specialists play a key role in maintaining applicant momentum and ensuring seamless handoff to the next phase of hiring.
Responsibilities
- Interview Management:
- Monitor the live interview dashboard and promptly accept candidates who enter the queue
- Conduct professional, timely, and structured interviews for all candidates
- Evaluate candidates to determine if they are a good fit for the company based on role requirements and organizational values
- Mark candidates as Accepted, Declined, or Not Interested based on the outcome of the interview
- For accepted candidates, send out the appropriate application immediately following the interview
- Application Completion Support:
- Ensure that candidates who are sent applications complete them within 48 hours
- Provide ongoing support to interviewees during the application process, including answering questions and resolving issues
- Track and document all communication and follow-up efforts
- Collaborative Coverage:
- Assist candidates from other interviewers\' queues when those interviewers are off shift
- Maintain team accountability by ensuring all pending applicants are supported, regardless of which Intake Specialist originally interviewed them
Requirements
- Strong interpersonal and communication skills
- High level of professionalism and the ability to evaluate candidates objectively
- Ability to multitask and manage follow-ups across multiple applicants
- Familiarity with virtual interview platforms, online applications, and recruitment software
- Experience in a customer service or applicant support role is a plus
Schedule
- Monday: 3pm to 10pm (EST)
- Tuesday: 3pm to 10pm (EST)
- Wednesday: 3pm to 10pm (EST)
- Thursday: 3pm to 10pm (EST)
- Sunday: 8am to 8pm (EST)
