This highly collaborative role supports all departments and branch offices and serves as a key point of contact for agents, clients, and internal stakeholders. Reliability, punctuality, and strong organizational abilities are critical to success in this role. In this position, you will manage front-facing communications by answering and directing incoming calls, greeting associates, clients, and visitors, and ensuring a professional and positive experience for all interactions. Additional responsibilities include notifying appropriate recipients of communications, processing and distributing incoming mail, coordinating package pick-ups and deliveries, reviewing and processing new submissions accurately and efficiently, and supporting meetings through conference room setup and coordination. Provide front office and facilities support, including assisting vendors (e.g., maintenance, Cintas, water services) and regularly monitoring building conditions such as lighting and common areas. Support office operations by coordinating associate moves, managing workstation nameplates, and maintaining reception coverage to ensure a welcoming and professional environment. Manage incoming and outgoing mail and packages, including distribution (FedEx, UPS, USPS, DHL), verifying addresses, creating shipping labels, and researching missing information using internal systems. Process administrative workflows, including check, premium finance, and claims documentation by preparing and routing materials for scanning and retention in accordance with company standards. Provide administrative support such as scheduling meetings, coordinating conference room setups, ordering catering, and assisting with travel arrangements; in some locations, manage corporate housing logistics. Handle facilities-related financials and requests, including processing invoices, responding to ServiceNow tickets, and proactively ordering supplies to avoid workflow disruptions. Manage security access and badging, including tracking visitor badges, coordinating keycard replacements, and submitting new employee access requests. Maintain records and file systems using tools such as Iron Mountain and OnBase, ensuring proper retention, organization, and retrieval of documents. Support continuous improvement by recommending process enhancements, maintaining familiarity with office equipment, and cross-training to provide team coverage as needed.
The salary range for this position is $17.44 - $29.95. The posted salary range reflects the lowest and highest base salary applicable to this role across our U.S. locations. Individual offers are determined based on geographic location, experience, qualifications, internal equity, and other job-related factors. As a result, the salary offered for a specific location will fall within a narrower range than the overall range displayed in this posting. This position may also be eligible to participate in the Company's annual incentive plan.
