Qualifications

  • Minimum of five years of facilities management, property operations, or workplace services experience.
  • Experience coordinating facility projects, vendors, maintenance activities, and client requirements.
  • Working knowledge of mechanical, electrical, plumbing, life-safety, and general building systems preferred.
  • Experience using a CMMS or similar work-order and asset-management platform.
  • Certified Facility Manager or comparable IFMA designation preferred but not required.

  • Serve as primary liaison among client, landlord, property management team, service providers, and other key stakeholders.

Job Summary

The Workplace Experience Manager is responsible for supporting the day-to-day operation, maintenance, safety, and workplace experience of the assigned facility. This position works closely with the Property Manager, landlord, service providers, and client representatives to ensure that the building is maintained to a high standard and that services are delivered in accordance with client requirements.

This role requires a proactive, service-oriented professional who can manage multiple priorities, coordinate vendors and projects, maintain accurate facility records, and deliver a safe, efficient, and welcoming workplace environment.

Responsibilities
  • Partner with the Property Manager to coordinate preventive maintenance programs and maintain the interior and exterior condition and appearance of the facility.
  • Serve as a primary liaison among the client, landlord, property management team, service providers, and other key stakeholders.
  • Coordinate facility projects, including workspace improvements, repairs, equipment installations, and other site-related initiatives.
  • Conduct regular project and operational meetings with client representatives, the landlord, property management, and vendors.
  • Coordinate snow removal, landscaping, construction activities, move management, and other facility-related services.
  • Monitor preventive and reactive work orders generated through the computerized maintenance management system.
  • Maintain accurate building, asset, vendor, and work-order information within the CMMS.
  • Verify that facility services are supported by valid purchase orders and remain within approved budget parameters.
  • Review monthly rent and facility-related invoices and provide expense summaries to the client lead and Lease Administration.
  • Serve as the on-site point of contact for facility audits, inspections, and compliance reviews.
  • Support the development, implementation, and maintenance of site-level emergency preparedness and business continuity plans.
  • Implement and reinforce environmental, health, safety, and security policies and procedures.
  • Conduct routine property inspections and coordinate corrective action plans with on-site teams and service providers.
  • Work with the landlord and Property Manager to ensure that client requirements and service expectations are consistently met.
  • Track service delivery, operational performance, and vendor compliance; identify issues and implement appropriate corrective actions.
  • Collaborate with the client on sustainability initiatives and other workplace improvement programs.
  • Participate in client meetings, internal programs, training activities, and organizational initiatives as directed by account management.
  • Maintain compliance with Newmark and client safety policies and procedures.
  • Provide after-hours support for facility emergencies when required.
  • Travel to other assigned facilities as business needs require.
  • Perform additional duties and responsibilities as assigned.
Qualifications
  • Bachelor’s degree in facilities management, business administration, engineering, or a related field preferred; an equivalent combination of education and relevant experience will be considered.
  • Minimum of five years of facilities management, property operations, or workplace services experience.
  • Demonstrated experience coordinating facility projects, vendors, maintenance activities, and client requirements.
  • Working knowledge of mechanical, electrical, plumbing, life-safety, and general building systems preferred.
  • Experience using a CMMS or similar work-order and asset-management platform.
  • Certified Facility Manager or comparable IFMA designation preferred but not required.
  • Strong organizational, analytical, and project-management skills.
  • Excellent verbal and written communication skills.
  • Strong client-service orientation with the ability to build productive relationships across multiple stakeholder groups.
  • Ability to manage competing priorities, resolve issues and work effectively in a fast-paced environment.
  • Proficiency in Microsoft Outlook, Word, PowerPoint, and Excel.
  • Ability to work independently and collaboratively in an on-site environment.
