Job summary

Thuma is seeking a highly organized Workplace Experience Lead to own the day-to-day operations of our Presidio/San Francisco headquarters. You will blend office management, hospitality, employee engagement, facilities coordination, and event execution to create an exceptional work environment.

The role sits in the People team and partners with IT, Recruiting, and cross-functional groups. It is onsite five days per week in San Francisco.

Qualifications

  • 3–5+ years of experience in Office Management, Workplace Experience, Hospitality, Facilities Coordination, or Administrative Operations.
  • Hospitality mindset with passion for welcoming and supporting people.
  • Exceptional organizational skills and ability to manage multiple priorities.
  • Excellent written and verbal communication and strong customer service.
  • Experience coordinating vendors, facilities, workplace services, and events.

Responsibilities

  • Own the daily operations of the San Francisco headquarters and ensure office is organized, stocked, clean, and efficient.
  • Champion a hospitality-first culture for employees, customers, candidates, vendors, and visitors.
  • Coordinate onboarding materials, office tours, and welcome experiences for new hires.
  • Plan and execute employee engagement initiatives and workplace events.
  • Manage vendors (janitorial, coffee, supplies, plants) and ensure service quality.
  • Coordinate building maintenance, repairs, and safety, with documentation.
  • Oversee office inventory, purchasing, shipping, mail, and supplies.
  • Support office moves, workspace setup, and conference room readiness.
  • Develop and maintain workplace procedures and checklists for consistency.

At Thuma, we are seeking a highly organized, hospitality-driven Workplace Experience Lead to own the day-to-day operations of our Presidio headquarters while creating an exceptional experience for team members, vendors, candidates, and visitors.

This role combines office operations, hospitality, employee engagement, facilities coordination, and event execution into one highly visible position. You'll ensure the office operates efficiently while creating an environment where people feel welcomed, supported, and excited to come to work.

The ideal candidate shifts seamlessly between tactical execution and proactive problem-solving. You notice the details others miss, anticipate needs before they arise, and take pride in creating a workplace that reflects Thuma’s culture and values. This role is part of the People team and owns day-to-day office operations, onboarding support, employee engagement initiatives, and coordination of team onsites while partnering closely with the people team, IT, Recruiting, and cross-functional teams.

This role is onsite five days per week in the San Francisco office.

You Will
  • Own the daily operations of the San Francisco headquarters, ensuring the office is organized, fully stocked, clean, and operating efficiently.
  • Champion a hospitality-first culture that creates an exceptional experience for employees, customers, candidates, vendors, and visitors.
  • Deliver an outstanding new hire experience by coordinating welcome materials, leading office tours, and ensuring every employee feels welcomed from day one.
  • Coordinate visitor experiences, including conference room setup, catering, refreshments, and meeting logistics for vendor visits, interviews, executive meetings, and leadership events.
  • Plan and execute employee engagement initiatives, celebrations, appreciation events, Lunch & Learns, company meals, and workplace programs that strengthen company culture.
  • Manage workplace vendors, including janitorial, coffee service, office supplies, plants, and other office services, ensuring high-quality performance and accountability.
  • Coordinate building maintenance requests, workplace repairs, and facility services while maintaining a safe, functional, and professional office environment.
  • Manage office inventory, purchasing, shipping, mail distribution, and workplace supplies.
  • Conduct regular workplace walkthroughs to proactively identify opportunities for improvement and resolve issues before they impact employees.
  • Support office moves, workspace setup, conference room readiness, and workplace organization projects.
  • Build and maintain workplace procedures, checklists, and operational documentation that improve consistency and efficiency.
  • Partner cross-functionally with Operations, HR, IT, Finance, and leadership to support office operations and company initiatives.
  • Continuously identify opportunities to elevate the employee experience while improving operational efficiency.
This Might Describe You
  • 3–5+ years of experience in Office Management, Workplace Experience, Hospitality, Facilities Coordination, or Administrative Operations.
  • A hospitality mindset is a must. You genuinely enjoy taking care of people and creating environments where employees and visitors feel welcomed, supported, and valued.
  • Exceptional organizational skills with the ability to manage multiple priorities in a fast-paced environment.
  • Excellent written and verbal communication skills.
  • Strong customer service and relationship-building abilities.
  • Experience coordinating vendors, facilities, workplace services, and office operations.
  • Experience planning employee events, meetings, and engagement initiatives.
  • Ability to anticipate needs, solve problems proactively, and execute with minimal direction.
  • High attention to detail with consistent follow-through.
  • Proficiency with Google Workspace, slack and workplace collaboration tools.
  • An exceptional written communicator with a positive attitude, strong sense of ownership, and passion for creating exceptional workplace experiences.
  • An eye for design and ability to align brand expectations to our headquarters.

$80,000 - $95,000 a year

Thuma provides an estimate of the compensation for roles that may be hired as required by state regulations.
