Position Type Staff Make an Impact Through Workforce Development Dallas College is seeking a detail-oriented and collaborative Workforce Development & Apprenticeship Project Coordinator to support innovative workforce training and apprenticeship initiatives that help students, trainees, and employers succeed. In this grant-funded role, you will play a critical part in coordinating projects, managing program data, supporting apprenticeship activities, and ensuring successful delivery of workforce development programs that strengthen our community and regional workforce. The ideal candidate enjoys organizing complex projects, building strong relationships, analyzing data, and supporting programs that create meaningful career pathways for learners of all backgrounds. What You'll Do As a Workforce Development & Apprenticeship Project Coordinator, you will: Support the planning, coordination, and implementation of workforce development and apprenticeship initiatives. Track project milestones, timelines, performance metrics, and deliverables to ensure successful completion of grant-funded objectives. Monitor and maintain participant records, course documentation, apprenticeship data, registrations, evaluations, and reporting requirements. Assist with project budgeting, revenue and expenditure tracking, invoicing, purchasing processes, and grant compliance activities. Collect, analyze, and report workforce development and apprenticeship data for local, state, and federal reporting requirements. Collaborate with employers, community partners, training providers, industry representatives, and internal stakeholders to support workforce training programs. Prepare professional reports, presentations, correspondence, and project updates while handling sensitive and confidential information with discretion. Maintain large databases and leverage technology tools to generate reports, monitor outcomes, and improve operational efficiency. Identify opportunities for process improvement and support innovative solutions that enhance program effectiveness. Stay informed about emerging workforce development and apprenticeship trends to support evolving program needs. Coordinate multiple projects simultaneously while meeting deadlines and maintaining a high level of accuracy. Contribute to a positive, collaborative team environment and provide excellent customer service to internal and external partners. What You Bring Knowledge of WIOA Youth requirements, including work experience activities, documentation, compliance, and performance measures. Experience developing employer partnerships and coordinating internships, work-based learning, and work experience opportunities. Ability to coordinate participant placements, monitor worksites, track progress, and address issues to ensure successful outcomes. Strong recordkeeping skills, including tracking participant hours, payroll documentation, case notes, and performance results. Ability to deliver work readiness training, career coaching, and employment support to young adults. Knowledge of federal, state, local workforce board, and Dallas College policies, with the ability to maintain audit-ready records. Strong communication, customer service, and organizational skills, with the ability to work effectively with participants, employers, and community partners. Position Summary Provides support for day-to-day logistics and implementation related to workforce development initiatives and job pipeline opportunities, apprenticeship implementation, and other solutions-oriented activities. Plan and maintain work systems, follow processes and policies that enable and encourage the meeting of workforce development and apprenticeship project objectives. Responsible for managing the process and monitoring course files to ensure complete data in areas such as class rolls, student evaluations, course numbers, student registration functions and apprenticeship data. Undertakes projects and exercises sound judgement in the preparation of highly confidential student, trainee, apprentice and training provider correspondence, reports and presentations. Required Knowledge, Skills and Abilities Ability to embrace, understand and implement the purpose and the vision of the College. Support and logistics for workforce development, continuing education programs and/or apprenticeship projects while working collaboratively in a team environment. Experience collecting and maintaining required sensitive confidential documentation and data for workforce development, grant-funded and apprentice participants. Day-to-day experience and knowledge working with internal systems/management tools such as Excel and/or Salesforce, Marketplace, Colleague. Knowledge of processes and procedures related to workforce development training and apprenticeship structures, and management of data. Excellent interpersonal skills and the ability to create strong professional relationships with a variety of individuals within the Dallas College community network. Minimum Qualifications Associate's degree (preferred) or High School Diploma with two (2) years’ experience in workforce development and/or apprenticeship projects (required). Accounts payable, purchasing and/or invoicing experience in workforce development and/or apprenticeship projects (preferred) (Marketplace). Two (2) years collecting and managing large amounts of workforce development and/or apprenticeship data for complex projects. Excellent communication and coordination skills with corporate, employer partners, workforce development and industry apprenticeship (required). Two (2) years extensive experience with and knowledge of internal systems such as Workday, Datatel/Colleague-screens and/or Marketplace (or similar system experience elsewhere. Some positions may be subject to a fingerprint check. ** Key Responsibilities Analyze data, determining the status of timelines, and performance goals to come to a solution that best accomplishes successful project completion. Assist with grant-funded project activities, such as tracking and reporting of data related to trainees, apprentices, training, revenues/expenditures, and other deliverables to meet all project milestones. Assist with apprenticeship and/or workforce development project management processes and procedures, including data tracking, budgeting, and reporting. Set goals and motivate team members to accomplish workforce development and apprenticeship targets and milestones, delegating tasks as needed to support successful project completion. Experience with local, state, and/or federal grant agencies and tracking/reporting systems such as RAPIDS and Appian Cloud based platforms. Effectively manage team group dynamics to ensure positive work environment and achieve departmental goals. Disseminate information among team members and key stakeholders. Work cross-functionally with internal/external work groups to develop and improve multiparty initiatives for complex business projects that involve local/state/federal grants and apprenticeships initiatives. Provide and share knowledge for process improvements to address the effectiveness of work processes and solutions. Communicates appropriately with upper management regarding key initiatives, progress updates on various projects, etc. Maintain large, detailed database and use technology to assist within scheduled deadlines. Ability to understand new emerging trends related to workforce development and/or apprenticeship and prepares for changes that may occur because of these trends. Able to work independently and be a strong effective team player, committed to delivering timely results; with excellent organization skills and effectively manage multiple tasks and projects simultaneously. Ability to effectively use a variety of software and information systems to input, retrieve, manage data, generate reports, prepare spreadsheets/reports and inter-office communications. Ability to analyze problem situations, identify feasible solutions, and present recommendations in a concise, logical and systematic manner. Must be able to use a variety of communication skills to convey information to individuals both internal and external to the organization.
