Job summary

Stinson LLP is seeking a Work Product Support Specialist to act as the firm's document expert. The role creates, edits and formats Word, Excel and PowerPoint documents, edits PDFs, converts formats, and performs quality checks for accuracy.

You will receive requests via a ticketing system, prioritize based on deadlines, and provide proofreading, technical assistance, and document troubleshooting. Some evenings and weekends may be required, with in-office presence at least three days per week.

Qualifications

  • High School diploma or equivalent.
  • Minimum of two years' word processing experience.
  • Advanced knowledge of Microsoft Office Suite.
  • Bachelor’s degree in English, Journalism or other English communications field strongly preferred.
  • 3-5 years' legal experience preferred.

Responsibilities

  • Document Production (90%): Create, edit, format & proofread complex Word/Excel/PowerPoint docs.
  • General and Administrative (10%): Monitor workflow system, create tasks and update requesters.
  • Proofread completed work for accuracy and return to Requesters.
  • Perform other duties as assigned.

Job description

The Work Product Support Specialist is the Firm's \"document expert.\" The Specialist creates, edits and formats Word, Excel and PowerPoint documents. The Specialist also creates and edits PDFs, as well as converts them to other formats. The Specialist receives requests from attorneys and staff through a ticketing system and prioritizes and completes work based on deadlines, proofreading and performing a quality check on all completed work.

Work Product Support is open from 7:00 AM to Midnight (Monday-Thursday), 7:00 AM to 11:00 PM (Friday), 9:00 AM to 5:00 PM (Saturday), and 3:00 PM to 11:00 PM (Sunday). Hours and shifts are subject to change, with notice, pursuant to business needs. The hours for the team extend beyond those of the traditional work week; some evenings and weekends may be required, based on availability and business needs.

Required Education & Experience
  • High School diploma or equivalent.
  • Minimum of two years' word processing experience.
  • Advanced knowledge of Microsoft Office Suite.
Preferred Education & Experience
  • Bachelor’s degree in English, Journalism or other English communications field strongly preferred.
  • 3-5 years' legal experience preferred.
Essential Functions

  • Document Production (90%)
    • Create, edit, format & proofread for accuracy complex legal Word, Excel & PowerPoint documents.
    • Manipulate PDFs (OCR, reduce size, redact, etc.)
    • Create fillable forms.
    • Convert PDFs to Word or Excel documents; format & proofread for accuracy.
    • Transcribe digital dictation; format & proofread for accuracy.
    • Answer the WPS telephone line & provide technical assistance & troubleshooting for specific document issues.
    • Compare documents & track document changes.
    • Create electronic closing binders.
    • Create tables of authority.
    • Design, create & edit forms & templates.
    • Create mail merges.
    • Occasionally use specialty applications.
  • General and Administrative (10%)
    • Monitor workflow system for incoming requests.
    • Create tasks and fill in request information, communicate with Requesters, track work time through task management.
    • Answer WPS telephone line when working in-office.
    • Proofread completed work for accuracy, return to Requesters, close tickets.
    • Perform other duties as assigned.

This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines. While performing the duties of this job, the employee will work in a professional, fast paced office environment that may require additional hours to complete work.
