We are seeking a proactive and highly organized Woodshop Operations Coordinator to support our Las Vegas trade show booth production team. This role will focus on managing packing, scheduling, and daily operations cross departments.
This role is essential to maintaining alignment across departments, our Las Vegas and Montreal offices, ensuring timely project execution, and supporting a seamless production pipeline.
Key Responsibilities
- Take full responsibility for managing packing, storage, inventory, and custom purchases for projects
- Maintain packing area clean and organized
- Plan and maintain packing schedules in coordination with Project Managers and Production
- Attend Packing List meetings to ensure every element for the project is considered
- Work closely with the Packing team to ensure all materials and components are prepped and packed accurately and efficiently for transport to events.
- Plan and communicate ahead the number of crates and size to Transport for proper planning
- At the end of the project ensure rental elements are checked for quality and re-entered into the stock. If any damaged has been produced, create a report and communicate to Project Manager
- Ensuring clear communication and alignment on timelines and deliverables.
- Provide regular updates on packing status, logistics, and potential issues.
- Update inventory on a regular base
- Receive, store and pack for transport clients’ products shipped to our office as part of the projects
Candidate Profile and Qualifications
- Self-starter who takes ownership of the work
- Strong skills in communication, organization, and problem-solving
- Fluent in English and Spanish
- French is not mandatory but could be an asset
- Driving license
- Previous experience in project management, operations, logistics, or production support—ideally in a custom fabrication or trade show environment.
- Strong organizational and time-management skills with the ability to juggle multiple priorities.
- Excellent communication and interpersonal skills, especially in cross-functional settings.
- Proven ability to work independently, take initiative, and lead without constant oversight.
- Attention to detail and commitment to maintaining high standards.
- Familiarity with warehouse management and production scheduling.
- Basic understanding of woodshop environments, though direct fabrication is not part of this role.
This role is based in our Las Vegas woodshop facility. Some overtime or extended hours may be required to meet critical event deadlines.
