SUMMARY:
The WIC Clerk's position conducts preliminary client interviews for intake services and appointment scheduling. Performs clerical duties to include typing, filing, telephone services and WIC EBT card issuance. Must be emotionally mature and able to function effectively under stress and the ability to organize and prioritize work.
PRIMARY RESPONSIBILITIES:
- Knowledge and understanding of Employee Handbook.
- Carry out the meaning of the CSMD Mission and Vision statements.
- Practice a culture of safety to reduce or prevent risk of injury, claims, loss or liability by utilizing the Risk Management and Infection Control Plan.
- Perform responsibilities with a high-quality standard to yield improved compliance, quality, and patient outcome measures by adhering to the Quality Improvement Plan.
- Be present and ready for work as scheduled.
- Attend in-service trainings, departmental meetings and community events.
- Work cohesively with team members.
- Learn and apply state WIC regulations pertaining to WIC program procedures, policies and practices, noting revision during the program year. Complete any necessary trainings related to policy update or revision.
- Responsible for completing required WIC Training Modules within 60 days of hire; including civil rights, HIPAA, and customer service.
- Responsible for completing assigned LAWIN training in a timely manner and use it effectively in providing WIC services.
- Organize work area with necessary WIC forms needed for WIC certification appointments and replenish supplies, as needed.
- Knowledge and understanding of employment handbook. Consults with WIC Program Manager for clarification of policies before decisions are made based on personal interpretation.
- Maintain confidentiality of workplace information according to the policies and procedures of the organization.
- Conduct preliminary client interviews by phone or in person for intake services and appointment scheduling. Assist client in accessing WIC Gateway link.
- Perform clerical duties to include typing, filing, appointment reminder calls, appointment scheduling, use of LA Medicaid verification system, and WIC EBT card issuance.
- Assist in the development and office organization of nutrition education displays, posters, literature, and other creative projects.
- Participate in health fairs, community meetings, in-service and job related education programs.
- Attend WIC breastfeeding trainings annually, as mandated by WIC policy.
- Works professionally as a team member in conjunction with other employees in the department and center.
- Communicates with all customers in a professional manner.
- Effectively uses CSMD phone systems and email to communicate professionally with staff clients and persons outside the organization. Knows all codes and communicates codes effectively over the intercom system.
- Operates within the guidelines established by departmental, WIC State Agency, and CSMD policies and procedures.
- Perform other duties as assigned.
EDUCATION:
- The candidate is required to have a general education background normally equivalent to a high school education. Minimum of two years of work experience in clerical duties, healthcare or medical environment preferred. Additional certifications/education in a Medical Program is a plus.
- Must be fluent in Spanish.
LICENSES, REGISTRATION AND/OR CERTIFICATIONS REQUIRED:
Previous medical office experience preferred, but not required. Ability to accurately schedule appointments, follows instructions, complete statistical computation forms, type and file.
JOB KNOWLEDGE:
The position requires a high level of quantitative skills, excellent communication both verbal and written, detail oriented, organizational and prioritization, and work independently as well as schedule and produce work in a timely manner.
The WIC Clerk must have concern for and understanding of low-income people and knowledge of local resources, which benefit the economically disadvantaged. Knowledge of and experience in computers and internet.
