Job description

Our law office is growing and we’re searching for a legal intake specialist to help us succeed outside regular office hours! You’ll serve as the compassionate voice of our law firm during evenings and weekends, fielding inbound calls from prospective clients in their time of need, screening, and surveying for potential cases. The Legal Intake Specialist plays a crucial role in the Intake Department, managing the entire lead process from initial contact to client sign-up for all incoming prospective clients with new case inquiries. Responsibilities:
  1. Answer all incoming potential client (PNC) calls as soon as possible, gather relevant information regarding a client’s potential case, and accurately enter details into the lead management system.
  2. Gather details regarding facts, injuries/damages, liability, and insurance coverage to determine the veracity of potential cases.
  3. Communicate with clients via phone, text, and email to gather and follow up on case information and evidence.
  4. Communicate with attorneys about whether to accept a PNC's case in a timely manner and record the source/origination of all calls received.
  5. Perform case-related administrative duties, such as organizing case files, scanning, filing, mailings, and managing a multi-line phone system.
  6. Process new client onboarding, establish client files through data entry and paperwork collection, and open all new cases promptly and accurately in case management software.
  7. Prepare accurate and error-free documents in a timely manner and ensure all client interactions reflect the high standards and core values of the Earley Law Group.
  8. Build professional relationships with providers, clients, and teammates, maintaining professionalism and composure when interacting with all employees.
  9. Evaluate prospective client inquiries and phone calls, analyze their case fit, and ensure they feel seen and heard.
  10. Assist in training new team members as required and participate in continuous improvement initiatives to enhance the intake process.
  11. Maintain thorough and accurate records in compliance with company policies and legal regulations, handling every matter confidentially.
Qualifications:
  1. Must be bilingual English-Spanish.
  2. Exhibit a passion for helping the customers we serve.
  3. Previous experience in customer service or sales preferred.
  4. Personal injury experience is a plus but not required.
  5. Strong computer skills, including proficiency with Microsoft Office products (Excel/Word/PowerPoint) and internet usage.
  6. Excellent customer service, communication, and organizational skills.
  7. Ability to prioritize workload and multitask in a fast-paced environment while maintaining attention to detail.
  8. Strong problem-solving skills and the ability to think critically.
  9. Ability to work independently and as part of a team.
  10. High level of empathy and understanding when dealing with clients in distress.
  11. Commitment to maintaining confidentiality and professional ethics.
  12. Adapt quickly to changing priorities and demands, maintaining a high level of productivity and accuracy.
  13. Foster a positive and collaborative work environment, contributing to the overall success of the team.
  14. Background in the legal or insurance industry preferred.
  15. Firm knowledge of spreadsheet and data management.
  16. Experience with LeadDocket, VineSign, and Filevine is a plus.

Compensation: $10 hourly
