Job summary

Sun Valley Resort is seeking a Wedding & Special Events Manager to oversee planning and on-site coordination for weddings and special events. You will sell, plan, and manage events from inquiry to execution while aligning client needs with resort service departments.

The role requires 3+ years in hotel sales or event planning, with strong client service, and proficiency in MS Office. This on-site position involves weekends/holidays and collaboration with Banquets, Set Ups, and AV teams.

Qualifications

  • 3+ years of experience in hotel sales, catering, convention services, or event planning required.
  • Proven experience managing both corporate and social events, including meetings, weddings, galas, and large-scale functions.
  • Excellent customer service, communication, and problem-solving skills.
  • Experience with Opera Sales & Catering, Delphi, or comparable hotel PMS or event management systems preferred.
  • Experience with menu development, event coordination, BEO origination and food concepts.
  • Excellent organizational skills and ability to manage multiple priorities.
  • Proficiency in Microsoft Office applications (Word, Excel and Outlook) with a typing speed of at least 55wpm.
  • Must be able to read, write, and communicate effectively in English.
  • Valid U.S. driver’s license required.
  • Engage in physical activities like standing for long periods, walking, and utilizing hands for tasks that involve gripping, handling, and reaching.
  • Can regularly lift and/or move up to 25 pounds and frequently lift and/or move up to 50 pounds.

Responsibilities

  • Handle full-cycle event planning for groups of 15-500 guests including weddings, social functions, corporate events, and nonprofit fundraisers.
  • Customize proposals, negotiate contracts, and manage event details including menus, AV, venue setup and floorplan, and budgets.
  • Serve as the primary resort representative for assigned events, coordinating details with clients, developing solutions, and providing clear guidance throughout the planning process.
  • Prepare and execute Banquet Event Orders and other required operational communication for booked functions.
  • Responsible for understanding and working within department policies and procedures such as food minimums, space release policies, and booking guidelines.
  • Represent the needs and expectations of the client to all operational departments at Sun Valley Resort.
  • Act as the "on-site" contact for assigned events for the duration of the program in conjunction with the Banquets, Set Ups and AV Departments.
  • Work closely with all guests and customers to ensure their event meets or exceeds their expectations.
  • Maintain consistently high standards of service, quality, and hospitality for all resort guests.
  • Demonstrate complete knowledge of the resort, its services, and local community resources.
  • Assist with billing arrangements and all other services as required.
  • Create and develop sales strategy for catering only events in non-peak seasons, including but not limited to holiday parties.
  • Additional duties as assigned.
