This role involves providing best-in-class customer service, building strong relationships, and ensuring the timely, complete, and accurate processing of all IRA transaction requests. You will act as a liaison between Private Client Advisors and key internal departments including Operations, Audit, Compliance, Legal, and Tax.

Your primary responsibilities will include:

  • Handling critical customer service needs by building and maintaining strong relationships, understanding Advisor goals, and delivering appropriate support and solutions.
  • Processing a range of IRA distributions, including normal and premature distributions, distributions due to death, internal and external transfers, and ensuring all state and federal withholding is correctly handled.
  • Ensuring that all IRA-related compliance requirements are adhered to, including timely and accurate completion of required distributions and correct account coding for audit and regulatory purposes.
  • Collaborating with Advisors to facilitate Required Minimum Distributions (RMDs) by identifying affected accounts, communicating with clients, and gathering and verifying necessary account data.
  • Maintaining controls and operational standards for all IRA processes, identifying process improvements, and taking an active role in problem resolution.
  • Supporting team members, providing backup coverage during high volume periods or absences to ensure uninterrupted client service.
  • Participating in cross-departmental initiatives and projects that enhance client experience and operational efficiencies within the wealth management division.

To succeed in this role, you should possess the following skills and experience:

  • 2-5 years of experience in the finance or investment management industry, preferably within wealth management or trust services.
  • Strong understanding and knowledge of IRA products and distribution processes, or willingness to develop expertise in this area.
  • Excellent relationship-building, communication, and customer service skills, with the ability to interact professionally and effectively with both clients and internal colleagues at all levels.
  • Proficiency in critical thinking and independent judgment to solve client problems and ensure compliance with applicable regulations and internal controls.
  • Meticulous attention to detail, high accuracy in processing, and a strong commitment to operational excellence.
  • Team-oriented mindset, with a collaborative approach that fosters teamwork, mutual support, and collective success.
  • Comfortable working in a fast-paced, high-volume environment requiring effective multitasking and time management.
  • Results-driven and self-motivated, with demonstrated initiative in identifying and driving process improvements.
  • Technical proficiency in PC applications, including Microsoft Word, Excel, and Access; familiarity with Trust industry systems and terminology preferred.
  • Working knowledge of current IRA, taxation, and compliance regulations is highly desirable.
Qualifications:
  • Bachelor's degree in Finance, Accounting, or related field preferred. Equivalent work experience may be considered in lieu of degree.
  • Experience working with IRAs or related financial products preferred.
  • Current Certified IRA Services Professional (CISP) designation or willingness to obtain this credential through the American Bankers Association is a plus.
