Job summary

HUB International is hiring a Wealth Advisor Services Associate in Austin, TX. The role supports the HIP team with onboarding, cash management, and back‑office operations to ensure a seamless client experience.

You will coordinate with custodians, advisors and clients, manage records, and help improve workflows for efficiency and compliance while using Orion and Microsoft Dynamics.

Qualifications

  • Bachelor's degree required.
  • 5–7 years of experience in wealth management or related operations.
  • Experience with custodial platforms is a plus.

Responsibilities

  • Manage end-to-end account onboarding and offboarding, including documentation and custodial setup.
  • Process cashiering requests (wire transfers, ACH, journals) across custodial platforms.
  • Support alternative investments operations, including subscription docs and capital call coordination.
  • Serve as liaison between advisors, clients and custodians to resolve requests.
  • Maintain accurate client records across CRM and portfolio accounting systems.

Comp: $26.00-$30.00 per hour + 6% yearly discretionary bonus

Job purpose

The Wealth Advisor Services Associate is an integral part of the HUB Investment Partners (HIP) team, responsible for delivering a seamless client and advisor experience across all operational and service functions. This role requires strong attention to detail, the ability to manage multiple priorities in a fast-paced environment, and a thorough understanding of custodial and investment operations. Duties and responsibilities
  • Manage the end‑to‑end account onboarding and offboarding process, including preparation and submission of new account documentation, Docusign workflows, and custodial account setup.
  • Process and coordinate cashiering requests including wire transfers, ACH, journals, and distributions across custodial platforms.
  • Support alternative investments operations, including subscription document preparation, capital call coordination, and investor statement management.
  • Serve as a liaison between advisors, clients, and custodians to ensure timely resolution of service requests and account‑level issues.
  • Maintain accurate and up‑to‑date client records across CRM and portfolio accounting systems, including account data, contact information, and relationship details.
  • Coordinate and track client and advisor action items to ensure thorough follow‑through and documentation.
  • Support compliance workflows including documentation collection, record retention, and preparation of regulatory communications.
  • Assist with performance reporting and client meeting preparation in coordination with advisors and the operations team.
  • Participate in the development and maintenance of operational workflows, identifying opportunities to improve efficiency and reduce client friction.
  • Support technology platforms used by the team including Orion, RightCapital, ClickUp, Microsoft Dynamics, and custodial portals.
  • Attend and participate in team meetings, training, and learning opportunities to stay current on industry practices, compliance requirements, and firm procedures.
  • Perform other duties as assigned.
Preferred Qualifications
  • High school diploma required; bachelor's degree preferred.
  • 2+ years of experience in wealth management, financial services, or a related operations role preferred.
  • Prior experience with custodial platforms in a wealth management or RIA environment a plus.
Skills and Knowledge
  • Strong working knowledge of custodial operations and account administration processes.
  • Proficiency with Microsoft Office Suite (Word, Excel, Outlook, Teams) and document management tools.
  • Experience with CRM and portfolio management platforms; familiarity with Orion and Microsoft Dynamics a plus.
  • Exceptional attention to detail and ability to manage multiple tasks simultaneously.
  • Strong verbal and written communication skills.
  • Ability to work independently and collaboratively in a team environment.
  • Client‑first mindset with a proactive approach to problem‑solving and follow‑through.
Working Conditions

Work is generally sedentary in nature but may require standing and walking for up to 10% of the time. The working environment is generally favorable. Lighting and temperature are adequate, and there are no hazardous or unpleasant conditions caused by noise, dust, etc. Work is generally performed within an office environment, with standard office equipment available.

Compensation

$26.00-$30.00 per hour 6% yearly discretionary bonus
