TheWarehouse Supervisoris a key position for Supply Services with essential functions offering opportunities to gain experience related to using modern receiving software systems, warehouseequipmentand thelogisticsto assure the patients/residents we serve aresuppliedtheir needed supplies for daily living.This position is a working supervisor role, activelyparticipatingin daily warehouse activities while overseeing and guiding the team to ensure efficient operations.The Warehouse Supervisor performs advanced logistical inventory and warehouse work. Work involves coordinating warehouse operations and supplies,maintainingsecurity of state property and warehouse stock inventory. Duties include monitoring stock levels for loss prevention and adequate supply to facilities and ensuring warehouse operationsare in compliance withestablished procedures. Supervises andtrainsstaff. Works under minimal supervision with considerable latitude for the use of initiative and independent judgment.Additionaltasks include processing replenishments of stock, putting away goods, rotating stock, pulling orders from inventory stockbinsand delivering goods to state facilities. Must activelyparticipateand/or serve in a Continuity of Operations (COOP) activation. Supply Services warehousesoperatein asafe yetquick-moving, effective, and efficient environment! This is a physically active position where creativity,strengthand discipline areimportant factorstoassistwith the heavy physical work involved. While the focus of this position is leading staff and movement of supplies, this position will also be cross trained to learn new and exciting skills including using the newest up-to-date receiving software systems, handheld devices for inventory control and warehouse equipment. Work Schedule: Monday – Friday, 8am - 5pm
Attends work on a regular and predictable schedulein accordance withagency and departmental leave policy andperformsother duties as assigned.
Manages, trains, assigns work, andreviewsstaff in warehousing procedures. Ensures services and supplies are properly distributed and stocked at assigned State Hospitals and State Supported Living Centers. Creates reports to reflect productivity, devises strategic initiatives to increase safety, reduceloss, claims, staffturnover and ensure multiple facilities areoperatingat expected levels. Foresees potential issues and initiates mitigating actions to include assisting in reassignment of staff to a different location from time to time to support coverage. Approves travel and related expenses using theetravelsystem. (35%)
Manages and reviews inventory and stock control records, runs and reviews warehouse reports andmaintains“First in, First Out (FIFO)” accountability for assigned warehouse. Managesreplenishmentrequisitions and communicates with suppliers for availability of required stock items tomaintainsafe and effective operations in the state operated facilities. Trains staff in the use of MIMS to provideaccurateandtimelyissuance of warehouse stock.Entersreceipts, including numbered assets, into the CAPPS financial system. Trains staff onaccurateandtimelyreceipts and assures warehouse stock shipments are delivered on time. Regularly provides reports and meetings with executives to advise on issues relating to inventory, personnel and warehousing related topics. (30%)
Manages hiring, time schedules, leave approvals, terminations and retirementsutilizingthe CAPPS HR system and other tools. Participates in recruiting initiatives and activities. Provides performance feedback and evaluations ona timelybasis.Counsels and administers Performance & Conduct management actions in coordination with HR, Legal and Management.Participates in Civil Rights and Workman’s Compensation filings and needed actions. (15%)
Creates training processes, procedures, and written instruction. Provideshands ontraining in all aspects of multiple facility sites to ensureappropriate materialhandling, inventory procedures, equipment safety, and reports are being adhered toin accordance withSupply SharePoint Procedures, OperatingInstructionsand other required policies. (15%)
Completes other duties as assigned. (5%)
Knowledge of warehousing methods and procedures, of inventory and stock control record keeping, of automated inventory-control systems, of reporting procedures, and of departmental policies and procedures.
Ability to train others and to supervise the work of others in the areas of shipping, receiving,issuingand inventory control.
Ability to review warehouse operations for compliance with established procedures and to transfer stock from one location to another.
Knowledge of applicable rules, regulations, policies, functions, and operations.
Skill in the use of computer and related equipment, including the use of Microsoft Office Suite or equivalent to include word processing, spreadsheet, database, or presentation software programs.
Skill in the use of a calculator.
Skill in the use of mechanical lifting devices used in warehouse operations.
Skill in communicating effectively both verbally and in writing.
Ability to use a handheld device for the purpose of managing warehouse stock and receiving goods.
Ability to prepare reports andmaintainrecords.
Ability to coordinate with other staff, departments, officials, agencies, organizations, and the public.
ValidClass-CTexas driver’s license or ability to obtain it no later than90 daysafter hire date, is preferred. Applicants with an out-of-state driver’s license must provide an original certified driving record from the state of driving licensure. Eligible driving record required based on HHSC Fleet Management policy.
Maintains eligibility tooperatestate vehicles.Complies withstate and local traffic laws asevidencedby no citations. Attends and passes required training including Defensive Driver Certification and Van Driver Training courses.
Forklift Driver Training -SAF0100,completionrequiredwithinsix(6) months of employment.
