Job description

The Recruiting Assistant – Warehouse Hiring Center will primarily support processes around warehouse candidate sourcing and hiring process administration.

We are looking for individuals who are passionate about ensuring positive candidate experiences, have high energy and a positive attitude, and who have an attention to detail and capacity to deliver results.

Qualified candidates for this role will have prior experience demonstrating strong customer support through administrative and process completion, including issue resolution and strong follow-up. You will need to be proficient in the use of technology, capturing candidate information via phone while managing multiple screen computer applications. Bilingual Spanish is strongly preferred as our operation supports geographies across the United States and Canada.

This is an office-first role, consisting of 4 days in the office. The schedule will be Monday-Friday from 8:00 am‑4:30 pm.

Job Responsibilities

• Search for new candidates matching the provided job description.
• Assist the recruiter and warehouse hiring specialist in posting jobs via job boards, college career sites, and state workforce sites.
• Screens resumes from databases and applications from Penske’s Taleo system to identify candidates meeting minimum qualifications.
• Conduct brief phone screening conversations.
• Schedule candidate interviews with hiring managers.
• Maintain accurate records on applicant status and provide timely responses to all applicants.
• Coordinate onsite hiring events and Meet & Greets for warehouse candidates.
• Assist in providing offer letters and initiating/communicating the background screening process for selected candidates.
• Other projects and tasks assigned by supervisor.

Qualified Candidates Will Have

• Associate’s degree equivalent from a two‑year college or technical school; or minimum one year related experience preferred.
• Prior demonstrated high‑touch customer service and follow‑up experience required.
• Experience in warehouse recruiting or recruiting support highly preferred; other general recruiting support will also be considered.
• Prior Oracle or other applicant tracking system experience highly preferred.
• Prior experience in mining candidate resume databases and phone screening applicants is highly preferred.
• Bilingual, fluent English/Spanish written and verbal communication a plus.
• Knowledge of Word and Excel, and internet savvy.
• Effective communicators who are not afraid of the phone.
• Highly tech‑savvy (internet, data research, cell phone/text messaging, etc.).

Optimal Candidates Will Have

• 2‑3 years recruiting experience in a large, decentralized or centralized company environment.
• Bachelor’s degree or at least 3 years of equivalent work experience.
• Demonstrated internal customer service skills, including trouble‑shooting and problem‑solving experiences.
• Strong organizational and documentation skills.
• Effective communication in person and in writing with candidates, peers, managers, and leadership.
• Ability to work in a dynamic, fast‑paced environment and keep up with a high volume of activity.
• Ability to travel locally as needed.
• Detail‑oriented, self‑motivated, and strong organizational skills with prioritization ability.
• Excellent knowledge of Internet candidate data mining; recruiting certification preferred.
• Strong knowledge of enterprise applicant tracking systems; prior experience with Taleo preferred.
• Regular, predictable, full attendance is an essential function of the job.
• Willingness to travel as necessary, work the required schedule, work at the specific location, complete the Penske employment application, submit to a background investigation (including past employment, education, and criminal history) and drug screening.

Physical Requirements

• Read, communicate verbally and/or in written form, remember and analyze certain information, and understand instructions or guidelines.
• Stand, walk, and sit while performing duties; use hands to touch, handle, feel, and reach with hands and arms.
• Occasionally lift and/or move up to 25 lbs (12 kg).
• Specific vision abilities required include close vision, distance vision, peripheral vision, depth perception, and the ability to adjust focus.
