SUMMARY

The Warehouse Associate supports field technicians and project teams by keeping materials, tools, vehicles, and warehouse operations organized and ready for work. The role coordinates project staging, inventory transactions, purchasing support, returns, fleet maintenance details, and day-to-day technical assistance. Success requires strong organization, attention to detail, timely communication, and a service-focused approach to supporting technicians.

PRIMARY RESPONSIBILITIES
  • Review technician and project schedules daily to anticipate material, equipment, tool, and vehicle needs.
  • Serve as a primary warehouse support contact for field technicians, answering material and equipment questions and helping resolve shortages, substitutions, or readiness issues.
  • Stage complete project materials and equipment before scheduled pickup; clearly label each project with the project number, project name, and Project Manager.
  • Verify project documentation, pull sheets, pick tickets, drawings, and technician paperwork are complete and available before release.
  • Assist technicians during project pickup and return, confirm quantities and condition, and communicate discrepancies promptly.
  • Provide basic operational support for commonly used low-voltage tools, test equipment, and jobsite devices; route repair, calibration, programming, or advanced technical issues to the appropriate resource.
  • Prepare project packets and maintain accurate supporting documentation for issued and returned materials.
WAREHOUSE & INVENTORY CONTROL
  • Receive, inspect, count, label, store, and issue materials, tools, equipment, and supplies accurately in the ERP or inventory system.
  • Process material pulls sheets, create pick tickets, and verify all issued items are assigned to the correct project.
  • Maintain clean, orderly, and clearly identified warehouse, staging, cage, and storage areas.
  • Reconcile unused project materials by returning approved items to inventory or processing approved vendor returns.
  • Monitor stock levels, van stock, consumables, and commonly used technician supplies; report shortages and initiate replenishment as authorized.
  • Support cycle counts, annual inventories, van inventories, and discrepancy research; make approved system corrections and retain documentation.
  • Track company tools and equipment, including check-in/check-out, condition, calibration status, repair needs, and assigned user.
  • Maintain organized fleet records for assigned vehicles, including mileage, registrations, insurance cards, inspections, preventive maintenance, repairs, recalls, fuel cards, and assigned drivers.
  • Review mileage and maintenance intervals, schedule service appointments, coordinate vehicle drop-off and pickup, and follow through until work is completed.
  • Perform and document routine vehicle readiness checks for visible damage, warning lights, tires, fluids, safety equipment, cleanliness, and required documentation; route repair, calibration, programming, or advanced technical issues to the appropriate resource.
  • Coordinate approved repairs and maintenance with vendors, obtain estimates when requested, and verify invoices and service details against completed work.
  • Help keep service vehicles stocked, clean, organized, and ready for technician deployment; report missing equipment, damage, misuse, or recurring issues.
  • Maintain accurate fleet logs and provide timely status updates on vehicles that are available, scheduled for service, or out of service.
  • Support procurement of approved materials, equipment, tools, parts, and supplies based on project requirements and purchasing procedures.
  • Create, receive, and track purchase orders as authorized, including van stock replenishment orders.
  • Confirm order acknowledgments, expected delivery dates, backorders, and substitutions; communicate schedule risks to the appropriate Project Manager or supervisor.
  • Compare cost, quality, reliability, availability, and urgency when obtaining quotes or coordinating purchases.
  • Maintain professional working relationships with suppliers, service vendors, technicians, Project Managers, and internal departments.
  • Follow company safety procedures and proper material-handling practices; keep aisles, exits, work areas, and storage locations safe and accessible.
  • Safeguard company inventory, tools, equipment, keys, fuel cards, and vehicle documents.
  • Maintain accurate, timely, and audit-ready records; investigate and report discrepancies instead of allowing unresolved transactions to accumulate.
  • Prioritize multiple requests, meet deadlines, and communicate clearly when project needs or delivery schedules change.
  • Perform other related duties as assigned.

  • High school diploma or equivalent required; related warehouse, inventory, fleet, purchasing, technical support, or low-voltage industry experience preferred.
  • Working knowledge of inventory or ERP systems, purchase orders, Microsoft Office, email, and basic recordkeeping.

  • Occasionally work around vehicles, loading areas, varying temperatures, noise, dust, and active warehouse operations.
