Job description

The Volunteer Manager is an essential public-facing member of the Points North team responsible for managing the volunteer program for the Camden International Film Festival and September Artist Programs Fellowship Residencies. Volunteer management duties include recruiting, scheduling, and onboarding volunteers prior to and during festival and residency week. They also provide training, support, and volunteer resources for staff members that serve as volunteer team leaders.

The Volunteer Manager reports to the CIFF Associate Producer, and works closely with production department heads. Because of the multitasking nature of this position, it is imperative that the Volunteer Manager loves to work collaboratively and is a flexible and responsive thinker.

Candidate must have use of a laptop.

Candidate must have a valid driver’s license and use of a vehicle during the Festival.

Compensation: $5,000

Accommodations provided: September 6 to September 15.

Reports to: CIFF Associate Producer

Points North Staff Supervisor: Operations Director

Timeline:

Start Date: June 23, 2025

End Date: September 30, 2025

TIMEFRAME and COMMITMENT:

The hours provided are approximate, to be used as a tool for the contractor to estimate the time commitment needed to complete the work.

  1. June 23 - August: approx 10 hours per week (remote)
  2. September 2 - 15: full time (remote & in person - must be in person September 6-15)
  3. September 16 - 30: approx 10 hours per week (remote)

RESPONSIBILITIES

  • Responsible for managing volunteer management system in Shiftboard, including all scheduling, data tracking, and reporting, as well as training other team members
  • Recruit volunteers via outreach to CIFF’s existing list of community partners
  • Maintain and update list of volunteer outreach opportunities
  • Communicate with returning volunteers to facilitate registration in database
  • Communicate with new volunteers to provide orientation to CIFF and review work assignment preferences
  • Facilitate volunteer orientation/info sessions
  • Manage CIFF week volunteer orientation and team manager orientation
  • Develop 2025 Volunteer Handbook
  • Liaise with all departments’ team managers to facilitate appropriate volunteer assignments to teams and ensure team schedules are entered for volunteer sign-up
  • Provide guidance, leadership, and oversight to volunteer teams throughout festival
  • Provide support to team managers when volunteer performance issues arise
  • Develop and maintain list of benefits for each volunteer
  • Lead the setup of the Volunteer Check in and Info station at the CIFF Hub
  • Oversee the work of the Volunteer Assistant
  • Liaise with Box Office Manager and Passmaster on any volunteer CIFF pass activations
  • Thank and solicit feedback from volunteers after the festival
  • Evaluate volunteer performance and maintain a list of especially strong or well-suited volunteers
  • Provide wrap report to Operations Director, including volunteer assessments, and attend staff debrief meeting
