We are looking for a highly organized and proactive VirtualAssistant to support our team and enhance our operational efficiency.

As a Virtual Assistant, you will play a key role in supporting ourengineering consultants and project managers by handling administrativetasks, managing communications, and ensuring smooth project operations.This position requires excellent communication skills, attention todetail, and the ability to multitask in a fast-paced environment.

Key Responsibilities:

  • Administrative Support: Provide administrativeassistance, including scheduling meetings, managing calendars, andcoordinating travel arrangements for engineering team members.
  • Document Management:Assist in preparing, formatting, and proofreading engineering reports,proposals, and presentations to ensure accuracy and professionalism.
  • Project Coordination:Support project managers in tracking project timelines, deliverables,and budgets. Assist with project documentation and file management.
  • Communication Management:Handle incoming emails and phone calls, directing inquiries to theappropriate team members and ensuring timely responses to clients andstakeholders.
  • Research Support: Conductpreliminary research on engineering topics, industry trends, andcompetitor analysis to support project development and businessproposals.
  • Data Entry: Maintain and updatedatabases, project management tools, and other digital platforms toensure accurate and up-to-date information is readily available.
  • Meeting Coordination: Organize and coordinate virtual meetings, including preparing agendas, taking minutes, and following up on action items.

Qualifications:

  • Bachelors degree in business administration, engineering, or a related field (preferred but not required).
  • Previous experience as a virtual assistant or in an administrative role is a plus.
  • Strongproficiency in Microsoft Office Suite (Word, Excel, PowerPoint) andfamiliarity with project management software (e.g., Asana, Trello).
  • Excellent written and verbal communication skills.
  • Strong organizational skills and attention to detail.
  • Ability to work independently and manage time effectively in a remote setting.
  • Basic understanding of engineering concepts is a plus.
