Base pay range

$55,000.00/yr - $65,000.00/yr

  • Work closely with producers, directors, and department heads to create and manage production schedules, book crew, and send call sheets.
  • Handle bookings for locations, talent, crew, equipment, and transportation.
  • Organize permits and ensure compliance with legal and safety regulations.
  • Act as the central point of communication for all production-related updates and logistics.
  • Maintain meticulous documentation of production activities, including contracts, receipts, and reports.
  • Serve as the main point of contact during productions, ensuring all operations run smoothly and on schedule.
  • Maintain professionalism and confidentiality when working with celebrity talent and high-profile clients.
  • Troubleshoot any logistical or operational challenges that arise, keeping a calm and solutions-oriented demeanor.
  • Facilitate a smooth transition between production and post-production teams, ensuring timely delivery of assets.
  • Manage deliverables timelines, working with editors and producers to meet deadlines.
  • Track and organize all media assets for easy accessibility.

Office Management:

  • Maintain an organized, efficient, and welcoming office environment, ensuring all supplies, equipment, and resources are well-stocked and functional.
  • Oversee studio calendars, including bookings for meetings, shoots, and events.
  • Act as a liaison between the office team and external vendors or service providers.
  • Assist with the onboarding of new hires, freelancers, and contractors, ensuring they have the tools they need to succeed.

Intern Program Management:

  • Develop and oversee a structured intern program that offers valuable, hands-on experience for aspiring production professionals.
  • Manage intern recruitment, onboarding, and training, ensuring they are aligned with Hoff Studios' standards and culture.
  • Delegate meaningful tasks to interns and provide regular feedback to support their development.
  • Coordinate intern schedules to align with production needs.

Professionalism and Celebrity Talent Management:

  • Interact professionally with high-profile talent, celebrity guests, and clients, ensuring their needs are met with discretion and efficiency.
  • Anticipate the unique needs of VIPs and create a seamless and comfortable experience for them on set and in the office.
  • Uphold Hoff Studios’ reputation for professionalism and excellence in all interactions.

Qualifications and Skills

Required:

  • 2+ years of experience in a Production Coordinator or similar role within media, entertainment, or advertising.
  • Strong organizational and multitasking skills with the ability to prioritize in a fast-paced environment.
  • Excellent written and verbal communication skills, including the ability to maintain professionalism under pressure.
  • Proficiency with production management tools (e.g., StudioBinder, Airtable) and Microsoft Office Suite.
  • A proactive problem solver with a positive attitude.

Preferred:

  • Experience managing office operations or intern programs.
  • Familiarity with NYC-based production resources, including local vendors, permits, and talent.
  • Experience working with celebrity talent and high-profile clients.
  • Knowledge of union and non-union guidelines.
