Job summary

Marc Realty seeks a Vice President, Accounting & Finance to lead the accounting and financial reporting for a substantial real estate portfolio, including office and multi-family assets in downtown Chicago. You will manage a broad accounting organization, including property accounting, AR, AP, and oversight of the property management company’s controller.

The role reports to the Chief Operating Officer and offers high visibility, ownership of close processes, and leadership over systems,

Responsibilities

• Lead the monthly, quarterly, and annual close process across all property and corporate entities
• Prepare consolidated and property-level GAAP financial statements
• Deliver financial reporting packages to ownership, lenders, investors, and JV partners
• Coordinate year-end close, audit support, and tax workpaper preparation
• Lead and review property accounting across commercial office and multi-family portfolios
• Establish standardized close checklists, policies, and procedures
• Serve as escalation point for complex accounting and technical issues
• Oversee CAM reconciliations, straight-line rent, TI allowances, and lease accounting (ASC 842)
• Review tenant billing, AR aging, security deposits, and deferred rent schedules
• Oversee residential revenue, concessions, vacancy reporting, and capital improvement accounting
• Oversee tenant and resident billing, collections, cash applications, and bad debt reserves
• Approve weekly payment runs and ensure proper coding, authorization, and segregation of duties
• Manage vendor master file maintenance and annual 1099 filings
• Review monthly financial statements for the affiliated property management company
• Oversee management fee revenue recognition, payroll allocation, and overhead distribution
• Manage intercompany transactions, eliminations, and reconciliations
• Act as primary administrator and SME for Sage Intacct
• Oversee entity setup, chart of accounts, dimensions, reporting, and dashboards
• Manage integrations with property management platforms, bank feeds, and third-party systems
• Lead system improvements, automation initiatives, and user training
• Oversee portfolio-wide cash management, bank reconciliations, and cash flow forecasting
• Prepare lender compliance packages, DSCR calculations, and covenant testing
• Manage debt schedules, interest accruals, and loan accounting

The Newcastle Search Group has been retained by Marc Realty, a privately held real estate investment and management firm with a diversified portfolio of commercial office and multi-family residential assets, to identify a Vice President, Accounting & Finance to join their leadership team in downtown Chicago.

This is a highly visible leadership role reporting directly to the Chief Operating Officer, with full ownership of the accounting and financial reporting functions across a substantial real estate portfolio. The Vice President will lead a broad accounting organization including property accounting, accounts receivable, accounts payable, and oversight of the Controller for the affiliated property management company.

Key Responsibilities

• Lead the monthly, quarterly, and annual close process across all property and corporate entities
• Prepare consolidated and property-level GAAP financial statements
• Deliver financial reporting packages to ownership, lenders, investors, and JV partners
• Coordinate year-end close, audit support, and tax workpaper preparation

Property Accounting Oversight

• Lead and review property accounting across commercial office and multi-family portfolios
• Establish standardized close checklists, policies, and procedures
• Serve as escalation point for complex accounting and technical issues

Commercial Office & Multi-Family Accounting

• Oversee CAM reconciliations, straight-line rent, TI allowances, and lease accounting (ASC 842)

• Oversee residential revenue, concessions, vacancy reporting, and capital improvement accounting

• Lead system improvements, automation initiatives, and user training
• Oversee portfolio-wide cash management, bank reconciliations, and cash flow forecasting

Budgeting, Forecasting & Internal Controls

• Lead the annual budgeting process across all properties and corporate entities
• Deliver monthly variance analysis and reporting for ownership
• Design and maintain strong internal controls across the accounting organization
