Job description

The Veterinary Receptionist plays a dynamic role in the efficient operation of PAWS Chicago and provides excellent front of house customer service in a fast-paced clinic environment. The receptionist is professional and respectful when interacting with clients and patients.

Duties and Responsibilities
  • Preparation and maintenance of medical records, over the counter sales, mailings, computer operation, financial transactions, and front office and reception area.
  • Answers clinic phones, returns messages, forwards messages to appropriate staff in a timely manner
  • Schedule and confirm appointments via phone, electronically and in person.
  • Liaises with rescue and transport partners about questions, accounts receivable, schedules, etc
  • Use clinic software to update patient information, produce medical records, schedule appointments, etc.
  • Ensure mail and deliveries are received and dispersed timely
  • Clean lobby floor, chairs, counter tops after customers leave
  • Restock lobby literature, forms and office supplies as needed
  • Assist with surgery check ins, vaccine clinic and feral trap instructions and dispensing
  • Communicate basic veterinary concepts to owners and be able to repeat information relayed by a veterinarian
  • Perform other duties as assigned by management
Requirements
  • High School Diploma or GED
  • Bilingual (Spanish) required
  • Veterinary practice experience strongly preferred
  • Be proficient with desktop computer, email system, Microsoft suite
  • Ability to work well under pressure with excellent multi-tasking skills
  • Must be able to learn basic veterinary medical concepts including but not limited to vaccine protocols and anesthetic risks
Physical Requirements
  • Climbing stairs, balancing, stooping, kneeling, crouching, reaching, lifting and grasping
  • Walking and moving about to accomplish tasks, particularly for long distances or moving from one work site to another
  • Able to lift 25 lbs occasionally, 10 lbs frequently and a negligible amount constantly
  • Repetitive motion
