Job summary

Westinghouse Electric Company LLC seeks a Vendor Services Specialist to support outage-related activities from pre-outage through post-outage. The onsite role in Indiantown, FL is a 1-year W-2 contract. You will manage vendor contracts, monitor performance, and ensure compliance with expectations.

Responsibilities include PO setup, rate verification, invoice approvals, and cost summaries. Bachelor's or Associate degree in relevant fields is required, with substitutions allowed via outage

• Associate's or Bachelor's degree in one of the listed fields; equivalent utility or outage experience may substitute for formal education.

Responsibilities

• Pre-Outage: understand and set up all outage-related POs; submit change orders as needed; maintain clear vendor communications; verify rates per contract/quote.
• Outage: manage PO/service confirmations; approve invoices and burn rates; collect weekly vendor summaries and daily confirmations; ensure vendor communications stays clear; assist with invoice issues for non-ERS vendors.
• Post-Outage: ensure post-outage cost summaries; complete invoicing; participate in cost negotiations; ensure rentals are returned and invoicing is completed.

We are hiring on behalf of our client for a Vendor Services Specialist. This will be an onsite role based in Indiantown, FL and will be a 1-year contract, W-2. The Vendor Services Specialist supports vendor-related activities during all phases of outages (pre-outage, outage, and post-outage). The coordinator will work with vendors to manage contracts, monitor performance, and ensure compliance with expectations.

Key Responsibilities:

Pre-Outage Responsibilities:

• Preparation: Gain a thorough understanding of all outage-related Purchase Orders (POs) and set them up accurately. Submit change orders or request changes as necessary
• Communication: Establish and maintain clear lines of communication with vendors to set expectations and address any concerns.
• Rate Updates: Confirm that vendor rates are accurate per the vendor contract/quote.

Outage Responsibilities:

• Error Management: Adjust or communicate any errors on POs or service confirmations to prevent payment delays
• Invoice Approval: Approve service confirmations and monitor burn rates.
• Summary and Timesheets: Ensure vendors provide weekly summaries and daily service confirmations.
• Communication: Maintain clear communication with vendors throughout the outage.
• Invoice Confirmations: Ensure non ERS vendors convert service confirmations to invoices and assist vendors with invoice related issues.

Post-Outage Responsibilities:

• Cost Summary: Ensure vendors provide a post-outage cost summary.
• Invoicing: Ensure that all invoicing is complete and accurately recorded.
• Negotiations: Participate in cost negotiations and provide vendor reviews.
• Rental Management: Ensure all rentals are returned and invoicing is completed.
