Job description

The Vehicle Titles Manager leads and oversees all aspects of vehicle title processing. This role is responsible for ensuring compliance with all state and federal title regulations, supervising a high-performing Titles Specialist, and continuously improving processes to support operational efficiency and accuracy. The ideal candidate will bring a strong background in title management, leadership, and cross-functional collaboration.

Key Responsibilities:

Title Processing

  • Oversee the end-to-end vehicle title process, including verification of documentation, submission to DMVs, and resolution of title-related issues.
  • Ensure timely and accurate title transfers, lien recordings, and releases.
  • Work with outside remarketing vendor to provide titles to expedite vehicles to auction.
  • Manage and support the Titles Specialist, including hiring, onboarding, training, and performance evaluation.
  • Foster a positive, accountable team culture focused on accuracy and service excellence.
Compliance
  • Ensure full compliance with all relevant state and federal regulations governing vehicle titling, registration, and lien documentation.
  • Monitor legislative changes and adjust internal processes as needed.
Record & Inventory Management
  • Maintain accurate, organized records of all title transactions, including ownership histories and outstanding liens.
  • Oversee the physical and digital title inventory and ensure proper record keeping.
  • Maintain and develop reporting for titles statuses to provide to Sr. Management.
  • Maintain titles vault; organization, including but not limited to pulling documents, scanning and filing according to new title status.
  • Maintain title and contract documents in accordance with Company, state and federal regulations.
Customer Service
  • Serve as a resource for internal teams and external customers regarding title-related inquiries.
  • Resolve escalated issues promptly to ensure a positive experience.
  • Oversee the collection of applicable fees, process payments, and prepare reports related to title activities.
  • Reconcile financial discrepancies and ensure compliance with internal controls.
Cross-Department Coordination
  • Collaborate with departments such as Sales, Originations, and Accounting to ensure seamless title processing.
  • Collaborate with Account services to resolve customer and dealerships issues and questions regarding titles
  • Serve as a liaison between internal teams and external agencies (e.g., DMVs).
Training & Development
  • Develop, implement, and maintain training programs to ensure team proficiency and regulatory awareness.
  • Promote continuous learning and professional development.
Process Improvement
  • Identify opportunities for operational improvements and automation within title processing workflows.
  • Implement and track efficiency initiatives that enhance speed and accuracy.
  • Establish and enforce controls to detect and prevent title-related fraud.
  • Investigate irregularities and take corrective action when necessary.
Qualifications:
  • 5+ years of experience in vehicle title processing, with at least 2 years in a supervisory or management role
  • In-depth knowledge of DMV processes and regulations in multiple states
  • Proven leadership and team development skills
  • Strong attention to detail and excellent organizational abilities
  • Effective communication and problem-solving skills
  • Proficiency in title management systems and Microsoft Office Suite
  • Experience in financial reporting and inventory management is a plus
