Job summary

Columbia University’s University Life department seeks an Operations Officer to maintain St. Paul’s Chapel and Earl Hall and supervise student staff.

The role reports to the Assistant Director of Facilities, IT and Operations, focusing on building upkeep, safety rounds, and program support. Ideal candidates will have a bachelor’s degree (or equivalent) and 0–2 years of related experience, with strong communication and multitasking abilities.

Responsibilities

  • Supports and trains student associates and ensures shift responsibilities are completed daily.
  • Supports upkeep of St. Paul’s Chapel and Earl Hall in coordination with the Assistant Director.
  • Collects and processes daily shift reports and escalates issues as needed.
  • Supports departmental and student programs and events as a building manager.
  • Attends weekly operations meetings and helps set weekly goals.
  • Completes half-hour rounds to address safety and facility issues promptly.
  • Assists with opening and closing of Earl Hall and St. Paul’s Chapel.
  • Provides administrative support to the AD and operations team.
  • Ensures timely processing of logs, complaints and incident reports, escalating as needed.
  • Performs additional duties as assigned.

The salary of the finalist selected for this role will be set based on a variety of factors, including but not limited to departmental budgets, qualifications, experience, education, licenses, specialty, and training. The Opportunity:

Reporting to the Assistant Director of Facilities, IT and Operations (AD), the Operations Officer maintains the upkeep of St. Paul's Chapel and Earl Hall and supports student staff who work in those buildings.


Responsibilities


  • Supports and trains student associates and ensures that their shift responsibilities are completed on a daily basis.


  • In conjunction with the AD, supports the upkeep of St. Paul's Chapel and Earl Hall, including, but not limited to: building walkthroughs, pointing out issues that need to be fixed/addressed, etc.


  • Collects and processes daily shift reports from the student associates, escalating issues as appropriate.


  • Supports both departmental and student group programs and events as a building manager.


  • Attends and participates in weekly operations meetings.


  • Works closely with the AD to set operational and task-driven goals for student associates to meet each week and monitor their progress.


  • Completes half-hour rounds during shifts to ensure safety and facility issues are addressed in a timely manner.


  • Supports thedaily opening and closing of the Earl Hall building and St. Paul's Chapel.


  • Provides administrative support to the AD, and the operations team as needed.


  • Ensures timely and accurate processing of student logs, complaints, facility issues, incident reports, etc., and escalates to AD’s attention.


  • Performs additional duties as assigned.



Minimum Qualifications


  • Bachelor’s degree and/or equivalent in experience.


  • 0-2 years of related experience.


  • Strong communication, interpersonal and organizational skills required.


  • Computer literacy including MS Office, and Google Suite required.


  • Must be able to manage multiple competing priorities and projects.


  • Ability to be steady and sensitive in highly emotional situations.


  • Must consistently exercise discretion and excellent judgment.


  • Must be able to work flexible hours. Evening, weekend, holiday and on-call hours may be required. While we aim to have a set schedule as often as possible, the nature of this position may require variable hours day-to-day or week-to-week.


  • Respect for services in houses of worship is essential.


  • Student candidates must be and remain in good academic and disciplinary standing with the University.
