Key Responsibilities
  • Feedback and Coaching: Provide constructive feedback and guidance to VAs, fostering growth, improving performance, and helping them develop their skills.
  • Team Coordination: Facilitate efficient communication and collaboration within the team to ensure seamless workflow and maximize productivity.
  • Task Delegation: Assign tasks based on the VAs’ skills, expertise, and availability, ensuring alignment with their strengths.
  • Performance Monitoring: Track the progress and quality of VAs’ work, ensuring tasks are completed on time and to a high standard.
  • Client Communication: Serve as the main point of contact between clients and VAs, addressing concerns and maintaining clear communication.
  • Recruitment and Training: Focus on training and suggesting upskilling opportunities for VAs while overseeing hiring and onboarding to meet organizational needs.
  • Quality Control: Monitor and conduct quality checks on VA KOL dashboards and Team Leads’ reports to ensure standards are maintained.
  • Database Management: Oversee and maintain the company’s large database of influencers, including rejected entries and VA dashboards, ensuring accuracy and organization.
  • KPI Reporting: Update daily, weekly, and monthly KPI reports to track team progress and ensure alignment with goals.
  • Campaign Management: Manage end-to-end campaign preparation for projects, ensuring efficiency and streamlined processes.
  • A/B Testing: Perform A/B testing for campaigns to analyze and optimize response rates.
  • CRM and Email Management: Manage the company’s CRM tools and email systems to ensure smooth operations and effective communication.
  • Automation & Outreach: Set up and manage automation tools while implementing cold outreach best practices to improve deliverability, response rates, and overall campaign performance.

What We’re Looking For:
  • Proven experience in a team lead or managerial role, preferably in a remote or virtual assistant environment.
  • Strong understanding of performance management and coaching techniques.
  • Excellent communication and interpersonal skills, with the ability to articulate complex information clearly.
  • Proficiency in project management methodologies and task delegation tools (e.g., Asana, Trello, Monday.com, Jira)
  • Demonstrable experience with data analysis and reporting tools (e.g., Google Sheets/Excel, Google Analytics, basic BI dashboards) to interpret performance trends and inform decisions.
  • Advanced proficiency in administering and leveraging CRM tools (e.g., Salesforce, HubSpot, Zoho CRM) for client management, lead tracking, and reporting.
  • Familiarity with A/B testing platforms and methodologies for optimizing digital campaigns.
  • Proficiency in using virtual communication and collaboration tools (e.g., Slack, Zoom, Google Meet, Microsoft Teams, Lark) for daily operations.
  • Experience with database management principles and tools for maintaining large datasets.
  • Ability to manage multiple priorities in a fast-paced environment.
  • Detail-oriented with strong organizational skills.
