Job description

Full-time Administrative Support Position in the Upper School

This position involves providing administrative support in the front office of the Upper School. Responsibilities include answering phones, greeting visitors, supporting office operations, maintaining schedules, and assisting with various logistical tasks.

Essential Functions and Responsibilities:
  1. Answer and transfer calls on the main phone line, answer questions, and take messages; greet visitors, parents, and students professionally.
  2. Perform administrative tasks such as word processing, data entry, and photocopying.
  3. Manage mailings for the Upper School front office and administrative purposes.
  4. Assist the office manager and attendance officer as needed.
  5. Order and maintain office supplies, postage, and equipment.
  6. Handle incoming and outgoing mail and deliveries.
  7. Maintain the Upper School calendar and coordinate facility reservations and events.
  8. Update emergency information and First Aid/CPR lists.
  9. Support field trip logistics, including First Aid/CPR preparedness and student medication tracking.
  10. Ensure employment law posters and notifications are current.
  11. Manage paperwork related to purchase orders and student accounts, collaborating with the Business Office.
  12. Support financial aspects of building and office maintenance.
  13. Work with the school registrar on class, study hall, and advisory data entry.
  14. Assist the AP coordinator with scheduling, testing supplies, and administration.
  15. Perform other duties as assigned.
Experience and Skills:

Minimum qualifications include:

  • At least three years of experience as a receptionist or administrative assistant.
  • Strong written and verbal communication skills.
  • Attention to detail and excellent organizational skills.
  • Interpersonal skills to interact professionally with visitors, students, and parents.
  • Ability to multitask and adapt to changing priorities.
  • Experience with Google Suite.
  • Ability to lift small packages (up to 10 lbs).
  • Team-oriented attitude and willingness to assist in various areas.
Compensation:

This is a full-time, 11-month position with an hourly rate of $24-27. Salary offers are based on experience, qualifications, and other relevant factors, and may exceed the stated range.
