Work Schedule

Monday - Friday, 8:00 AM - 5:00 PM; occasional early morning, evening and/or weekend hours. This is a temporary position to end on or before June 30, 2027, with a possibility of renewal on an annual basis if funds and/or program needs exist.

We seek an exceptional individual to join our team as the University Advancement Office Coordinator (Administrative Support Coordinator I). Duties and Responsibilities

Under the supervision of the Director of Strategic Initiatives and Special Projects, the University Advancement Office Coordinator provides comprehensive project and detailed administrative, clerical, and operational support to the Office of the Vice President and serves as the division's operations coordinator. Key responsibilities include front-office reception, purchasing, invoice tracking, procurement card reconciliation, travel coordination, event logistics, office supply and inventory management, and administrative support for divisional initiatives. Serves as the Divisional Asset Management Coordinator, primary Department Information Technology Coordinator (DITC) for the Vice President of University Advancement (VPUA) Office, backup DITC for the division, and liaison to property management, motor pool, and parking and transportation. Performs other duties as assigned.

Essential Qualifications

High School diploma or the equivalent and two years of experience in general office, clerical or administrative support work or the equivalent. Training at a vocational school or full-time college education may be substituted for the required experience on a year for year basis. Thorough, detailed knowledge of applicable university infrastructure, policies, and procedures. Thorough knowledge of English grammar, punctuation, and spelling. Thorough knowledge of office systems with the ability to use a range of technology, systems, and software packages. Ability to independently handle multiple work unit priorities and projects. Ability to apply a variety of policies and procedures where specific guidelines may not exist. Working knowledge of budget policies and procedures. Ability to perform standard business math including calculating ratios and percentages, tracking financial data, and making simple projections. Ability to draft and compose correspondence and standard reports. Ability to handle effectively a broad range of interpersonal contacts including those at a higher level and those sensitive in nature.

A background check (including a criminal records check) must be completed satisfactorily and is required for employment. CSU will make a conditional offer of employment, which may be rescinded if the background check reveals disqualifying information, and/or it is discovered that the candidate knowingly withheld or falsified information. Failure to complete the background check satisfactorily may affect the continued employment of a current CSU employee who was conditionally offered the position.

Preferred Qualifications

Bachelor’s Degree from an accredited college or university. Comprehensive knowledge of the university infrastructure, policies, and procedures. Experience working in a higher education setting. Experience working with a board of directors. Experience using Blackbaud database software. Experience using OnBoard Portal web-based platform.

License/Certifications

A valid California driver’s license.
