Job description

Position Title: Unit Secretary - M-F evenings, Part Time

Location: Cambridge Tower A

Position Summary / Career Interest:

The Unit Secretary acts as a liaison, greeting visitors, patients, and healthcare team members in a courteous, customer-focused manner. They ensure patient charts are organized, accurate, and complete according to hospital chart order. Responsibilities include initiating the breakdown of charts, completing discharge checklists, monitoring electronic records for new orders, consults, treatment team updates, patient status, results, and advance directives. The role involves entering orders for equipment, diet, and transport, ordering supplies and equipment, monitoring inventory, updating dietary intake, and assisting with safety, environmental rounds, cleanliness, and infection prevention efforts.

Responsibilities and Essential Job Functions:
  1. Answer telephones, triage calls, and coordinate with units, consults, support, and ancillary departments.
  2. Monitor patient disposition at all times, using logs to track patients leaving or returning to the unit.
  3. Assist with non-patient care needs such as turning off lights, delivering mail or flowers, as requested.
  4. Complete filing tasks and ensure call light system is updated with patient assignments each shift.
  5. Inform Admitting of discharges immediately.
  6. Provide constant observation if required.
  7. Maintain a neat and orderly work area.
  8. Schedule follow-up appointments for patients.
  9. Transport items to and from ancillary departments as needed.
  10. Perform professional, clinical, or technical competencies as assigned to the unit or department.
  11. Other duties as assigned, dependent upon department needs.
Required Education and Experience:
  • High School Graduate
Required Licensure and Certification:
  • Basic Life Support Heartsaver (BLS HS) or BLS certification from the American Heart Association (AHA), CPR/AED certified.
Knowledge Requirements:
  • Completion of Medical Terminology course preferred.
