Summary:
  • The Unit Secretary is an integral member of the health care team who delivers quality care through collaboration and communication with team members. They work under the direct supervision of the nurse manager and the registered nurse to support the clerical and secretarial operations of the patient care unit. Responsibilities include managing clerical and information systems, receptionist duties, collecting and reporting patient data, supporting quality care standards, and ensuring role performance outcomes.
  • The candidate must be a high school graduate or have an equivalency diploma. Post-high school education, including computer courses and medical terminology, is preferred. Familiarity with typewriter/computer keyboard is also preferred.
Responsibilities:
  • Answer telephones, relay messages promptly, greet patients and visitors, and provide directions.
  • Communicate with nursing staff and hospital staff regarding patient needs and whereabouts.
  • Ensure patient consents and Advance Directive paperwork are in order.
  • Support Medication Reconciliation and answer patient call bells, communicating needs to healthcare team members.
  • Facilitate access for security systems, respond to intercom requests, and report malfunctions.
  • Assist in emergency situations, arrange patient transport, and handle miscellaneous tasks like delivering flowers or packages.
  • Call for equipment and supplies, and complete supportive paperwork.
  • Notify Nurse Manager of serious issues and submit necessary paperwork for signatures.
  • Manage patient arrival, transfer, and discharge information in the electronic system.
  • Maintain patient charts and ensure proper documentation and organization.
  • Prepare discharge documentation and transition passes, and support patient care transitions.
  • Maintain supplies and work area, assist in data collection, and contribute suggestions for practice improvements.
  • Support patient satisfaction initiatives and communicate observations to the healthcare team.
  • Provide guidance for completing electronic death and fetal death certificates and support Gift of Life notifications.
Credentials:
  • H.S. Diploma/GED (Required)
  • Equivalent experience or education preferred.
