Job Title: Unit Secretary, Emergency Department

Department: Emergency Department

Location: Hospital of the University of Pennsylvania - Cedar Avenues, 501 S 54th St. Philadelphia, PA

Hours: Part Time, 24 hours, Nights 7pm - 7:30am

The Hospital of the University of Penn Cedar location is looking for a Unit Secretary to join our team!

Summary:

  • The Unit Secretary is an integral member of the healthcare team who delivers quality care through collaboration and communication with team members. They work under the direct supervision of the nurse manager and the registered nurse to support the clerical and secretarial operations of the patient care unit.
  • Responsibilities include managing clerical and information systems, receptionist duties, collecting and reporting patient data, supporting quality care standards, and ensuring role performance aligns with HUP's Standards of Excellence.
  • The minimum educational requirement is a high school diploma or equivalent. Post-high school education in computer courses and medical terminology is preferred. Familiarity with typewriter/computer keyboard is also preferred.

Responsibilities:

  • Answer telephones, relay messages, and handle inquiries promptly.
  • Greet patients and visitors, provide directions, and answer questions.
  • Communicate with nursing staff and hospital staff regarding patient needs and whereabouts.
  • Ensure patient consents and Advance Directive paperwork are in order.
  • Support Medication Reconciliation through appropriate documentation and electronic auditing.
  • Respond to patient call bells and communicate needs to healthcare team members.
  • Facilitate access through security doors/intercom systems, following unit guidelines.
  • Report security issues to appropriate personnel.
  • Assist in emergency situations by arranging studies and placing emergency pages.
  • Arrange patient transport as needed.
  • Deliver patient flowers, mail, and packages as required.
  • Request equipment and supplies, and coordinate their return.
  • Communicate minor issues to supportive departments via calls or paperwork.
  • Notify Nurse Manager of serious problems and submit related paperwork.
  • Update patient information in the electronic system regarding arrivals, transfers, and discharges.
  • Maintain patient charts, ensuring proper order and documentation.
  • Prepare charts for discharges and transitions in care.
  • Manage patient identification and supply levels, and maintain orderly work areas.
  • Assist in data collection for departmental projects and research.
  • Participate in staff meetings and suggest improvements.
  • Reassign to other units as directed.
  • Demonstrate courtesy and respect to patients, families, and staff, supporting patient satisfaction goals.
  • Communicate pertinent observations timely and collaborate with healthcare team members.
  • Support the completion of electronic death and fetal death certificates and notify Gift of Life as appropriate.

Credentials:

Education or Equivalent Experience:

  • H.S. Diploma/GED (Required)
  • Additional education in medical terminology or computer courses preferred.
