  • Up to 1 year of direct experience performing duties similar to the job requirements preferred.

Position Overview

The Unit Secretary at United Health Services (UHS) helps keep the hospital unit running smoothly by supporting patients, families, nurses, physicians, and other care team members. This role manages important clerical and communication tasks, including maintaining medical records, using electronic medical record (EMR) systems, coordinating information, and supporting admissions, discharges, and transfers. By staying organized, responsive, and focused on service, the Unit Secretary helps care teams work efficiently and contributes to a positive experience for patients and families.

Job Responsibilities
Essential Functions:
  • Perform clerical and receptionist functions to support patient care operations, unit workflow, and effective communication among patients, families, nurses, physicians, and care teams
  • Maintain, audit, and update medical records to ensure accuracy, completeness, and compliance with documentation standards
  • Coordinate unit communications by relaying information, transcribing physician orders when required, and supporting timely clinical decision-making
  • Complete admission, discharge, and transfer clerical processes to support continuity of care and positive patient experiences
  • Manage unit supplies and equipment to support efficient patient care delivery and daily operations
  • Support consult coordination, including scheduling, documentation, and transportation arrangements, to facilitate timely patient services
Scope and Impact:
  • Contribute directly to patient-centered care by supporting clinical teams through accurate documentation, communication, and coordination activities
  • Exercise judgment within established procedures when prioritizing tasks, managing interruptions, and escalating issues appropriately
  • Work under general supervision with accountability for assigned clerical responsibilities that impact unit efficiency, patient flow, and service quality
Compliance and Professional:
  • Complete required continuing education, training, and competency validations in accordance with organizational and regulatory requirements
  • Adhere to HIPAA standards, infection control practices, and safety guidelines to protect patient information and maintain a safe care environment
  • Comply with ergonomic and workplace safety principles while performing all job-related activities
  • Safeguard sensitive data by following established security policies and procedures, using systems responsibly, and promptly reporting potential security incidents, risks, or policy violations
  • As applicable to your role, support cybersecurity and data protection requirements throughout the supplier lifecycle by coordinating vendor risk assessments, monitoring third-party compliance, and promptly reporting identified supply chain or cybersecurity risks
