Position Summary
Responsible for the overall clerical functions of the nursing station/front desk. Working collaboratively with the clinical team, the Unit Coordinator participates in delivery of patient care by providing a variety of clerical, customer relations, and support services to patients, their families/visitors, and healthcare team members.
Responsibilities
- Care of Patients, Families and Visitors
- Greets and directs patients, families, visitors and staff in a friendly, courteous, and positive manner.
- Provides non‑clinical information upon request and ensures timely answers to questions.
- Answers patient call lights and follows up to ensure nursing staff response.
- Secures patients’ personal property, labels belongings, and maintains a complete belongings list for each patient.
- Facilitates patient/family access to cafeteria, chapel, gift shop, parking, cashier, and other available services.
- Recognizes emergency situations and initiates appropriate response actions within scope.
- Front Desk and Office Support
- Performs clerical duties for the department, including telephone answering, mail handling, faxing, and data entry.
- Responds to telephone calls and inquiries in a timely manner, referring calls to appropriate personnel.
- Monitors and responds to BMC e‑mail and voice messages throughout the shift.
- Maintains computer communication data, charge boards, daily communication sheets, assignment sheets, and room name tags.
- Respiratory Therapy Coordination (respiratory units only)
- Logs in and logs off the pulmonary function test (PFT) extension at specified times.
- Uses terminal programs for patient data entry, printing reports, faxes, ordering items, and scheduling appointments.
- Maintains PFT lab statistics and bronchoscopy area records.
- Scheduling and Appointment Management
- Schedules and books patient appointments using manual or computer programs (e.g., SCM, IDX, GE).
- Follows approved scheduling policies, notifies appropriate individuals, and prints or faxes appointment information.
- Coordinates transportation arrangements for patients and related materials.
- Medical Record and Order Entry
- Maintains accurate, complete, and up‑to‑date patient care records per hospital policy.
- Prepares charts and labels on admission, places clinical pathways in bedside charts, and files results and treatment documents.
- Transcribes patient care orders accurately and communicates findings to the clinical team.
- Equipment, Supplies, and Environment Management
- Conducts daily rounds to ensure a clean, safe, and stocked environment.
- Logs work/repair orders, tracks borrowed and rented equipment, and arranges delivery of expired or broken items.
- Maintains office equipment and handles troubleshooting of computers, printers, fax machines, and other devices.
- Monitors inventories and orders supplies to maintain par levels.
- Compliance, Education, and Orientation
- Acts in a positive and collaborative manner, following policies, procedures, and regulations.
- Participates in staff meetings, quality improvement projects, and committee meetings.
- Completes mandatory educational requirements and maintains an accurate annual educational record.
- Assists in orientation of new staff and serves as a resource for float staff.
- Other Duties
- Performs additional duties as assigned by the supervisor.
Qualifications
- Education: High‑school diploma or GED.
- Certificates, Licenses, Registrations: Must complete competency requirements as offered.
- Experience: One to two years of previous clerical experience; experience in a healthcare setting preferred.
- Knowledge and Skills:
- Effective verbal, written, and interpersonal skills in English; multilingual skills are preferred.
- Ability to interpret and use medical terminology and abbreviations.
- Proficiency with Microsoft Office (Word, Excel, Outlook) and hospital systems such as SEM, IDX, SDK.
- Basic office equipment troubleshooting; strong organizational skills and ability to set priorities.
- Physical capability to meet core job requirements as dictated by the practice setting.
Compensation and Benefits
