The Unit Clerk Communicates with medical staff, other departments, and outside agencies while maintaining confidentiality. Position requires self-motivation, creativity, and capabilities to function in a semi-autonomous role within a fast pace and dynamic environment.

JOB SUMMARY

Under the general direction of the Director of Nurses for the Care Center, the Unit Clerk will provide administrative duties and telephone communications to enhance the flow of resident care on the unit. The Unit Clerk Communicates with medical staff, other departments, and outside agencies while maintaining confidentiality. Position requires self-motivation, creativity, and capabilities to function in a semi-autonomous role within a fast pace and dynamic environment.

STANDARDS OF PERFORMANCE

  • Ensures adherence to proper infection control, OSHA and safety standards.
  • Correctly and completely prepares charts for Nursing Home Residents insuring completion of all forms and records.
  • Scans all new admission paperwork into the Matrix system on admission.
  • Notifies appropriate staff of new admission to the facility.
  • Prepares chart labels using color coding.
  • Prepares daily assignment sheets for C.N.A. Care Partner’s for each shift.
  • Notifies Supervisor of call outs and may be required to schedule personnel for the Care Center, and locate replacements for call-ins.
  • Correctly files/scans medical records into patient/resident charts (lab reports, x-ray reports).
  • Enters new lab, x-ray orders, EKG, Respiratory Therapy, Therapy Services into the CPSI system pulling results and giving the results to the appropriate discipline.
  • Transcribes information from work sheets to resident’s Matrix chart as necessary. (TPR, Allergies, I & O, wts., meal %)
  • Set transportation for appointments. Notifies Director of Nursing of inability to set transportation arrangements.
  • Answers telephone and intercom, relaying information to appropriate personnel.
  • Fax prescription labels to reorder medication.
  • Copy and prepare charts for dismissal or transfer.
  • Send diet request slip to dietary department.
  • Transfers medical records to HIM after 90 days and as necessary.
  • Ability to perform duties as CNA on as needed basis.
  • Assists with passing of meal trays and feeding the residents.
  • Assist with getting residents to activities.
  • Maintains supply of forms, and copies/reorders forms as needed. Prepares and obtains supply orders as necessary.
  • Act as a receptionist utilizing exceptional customer service at all times.
  • Assists physicians, mid-level staff, vendors and facility personnel as necessary.
  • Act as a preceptor for new personnel.

Requirements

Minimum Level of Education: Education level equivalent to completion of High School diploma or documented C.N.A work experience will serve as equivalent to completed education.

Formal Training: Nurse Aide and Alzheimer’s unit training preferred but not required.

Licensure, Certification, Registration: Must have and maintain a current BLS – CPR certification.

Work Experience: At least one-year experience as a ward or unit clerk, Nursing Assistant with additional training, or related experience preferred.

Calculator, personal computer, telephone, facsimile machine, paper shredder, copier, printer, scanner, standard basic nursing equipment.
